The Trust Executive Group has recently approved the implementation of a comprehensive Inventory Management System across the Trust, with the vision of improving efficiency, transparency and traceability of the Trust's stock control, including high-cost items, with a view to improve patient safety and to ensure compliance with GS1 and Scan4Safety standards.


We are looking to appoint dynamic individuals with the skills and experience to support us to deliver transformational change; ensuring all improvements benefit patient pathways, standardise systems and processes, enable better use of data and ultimately improves patient care and staff experience.


The post holders will join the Inventory Management Team within the Procurement Department to support and assist the team in the implementation and ongoing delivery of a programme of transformational change and embedding the newly approved Inventory Management System across diverse groups of staff helping to drive change.

This vacancy is advertised on a fixed term contract basis for a period of 12 months due to the post being recruited as part of a limited term project within the Trust.

The fixed term contract status of the post holder will be reviewed in accordance with the Trust's legal obligations regarding fixed term contracts taking into consideration the requirement for the post to be maintained as a part of the project's implementation and the timescales associated with this.

Work collaboratively with partners including the Department of Health & Social Care, other Trusts, external IT consultants and suppliers to discuss, gain and share information, and answer queries or questions regarding the Inventory Management programme and its findings.

This may relate to patients, procedures, locations, products, staffing, outcomes, costs, etc.


Ensure the transfer of data from client internal and external feeder systems into the Inventory System in a timely manner.

Complete daily reconciliation procedures as required for each area/highlight any areas of anomaly to the Head of Inventory Management.

Work quickly to time pressures and be able to communicate with people at different levels across the Trust.


Liaise and coordinate team meetings, data, reports, marketing, implementation plans and also coordinate the intricate details of each implementation and support the business as usual activities once they are fully live and implemented.


Action requests for user set up/access to the Inventory management System and relevant modules in accordance with authorisation access policy and procedures and relevant guidelines.

Ensuring relevant security access is maintained in all circumstances and no potential conflicts occur. Escalate any concerns to the Head of Inventory Management for resolution before action is taken. Undertake required record maintenance to evidence relevant client system access actions.

Support the maintenance of authorised access to the Inventory management System for Departments and trust wide members of staff.

Assist in the production of indicative client monthly stock reporting timetable, supporting the inventory Management Analyst as relevant.

Undertake required record maintenance.

Have good written skills and be able to use the telephone with confidence.

There will be required to work across many different Trust locations and be able to speak to many different Trust personnel, many who will be more senior.

The post holder will need to have a professional outlook and have enthusiasm and tenacity.

Analyse and be creative, to spot trends and patterns in the data that others may not see.

The post holder will be required to review raw data in order to provide evidence of scenarios, common factors and also to outline outliers of the data to suggest and find where the anomalies are and consider why this might be true.


You will be required to:


  • Review marketing materials
  • Review meeting notes from national forums in order to consider what activities need to be organised and implemented.
  • Become a 'Super User' of the team for your knowledge of the system and the data which is available
