Overview of the job
Supporting the specialist administration systems that support the work of the Interventions Services Business Delivery & Development Team.

This post sits within the Business Delivery & Development Team of Interventions Services, which is part of the EIOPG.

The post reports to the Specialist Support Services Administration Manager.

This is a HQ post, based at Croydon or Wolverhampton.

No line management responsibilities:
No supervisory responsibilities. This is a non-operational role.


Summary


Reducing reoffending is a key priority for HMPPS and in order to address offending behaviour HMPPS has developed a range of treatment approaches known collectively as accredited treatment programmes.

This suite of treatment approaches is available throughout prison establishments and in the community, and is also available to external stakeholders.

The programmes are held in high regard internationally, and are often quoted within academic literature as examples of excellence.


You will be responsible for assisting with the provision of services, customer relations and general information recording for the Interventions Services (IS).

You will provide support to IS by leading on specialist administration systems such as Interventions Training Evaluation Systems, Specialist Training Administration, Reprographics and general data and information recording.

Ensuring our legal obligations under the Equalities Act are met is a key aspect of the post.

Reports to the Specialist Support Services Administration Manager.


Responsibilities, Activities and Duties
The job holder will be required to carry out the following responsibilities, activities and duties:

  • To undertake all required pre and post specialist administration work, ensuring accurate and timely information is provided to the Interventions Specialist Trainers, National Specialist Leads and where appropriate the Quality Assurance team.
  • To use all specialist administration systems to support the: Training Evaluation Systems (TES), Interventions Specialist Administration Systems, and Reprographics.
  • To support data assurance and information tracking systems, ensuring appropriate supervisors and managers are notified of any necessary updates and anomalies.
  • To update all tracking and recording systems; supporting processes to ensure all are kept uptodate and that any outstanding items are followed
- up accordingly.

  • Ensure accurate and efficient production, distribution, and collection of all training materials for each IS training event, or any other event, where the department is commissioned to provide. Production of material is to be planned in line with training directory, business plan and changing demand and or/need.
  • To contribute to the design of appropriate IS administration systems and provide administrative support for all IS systems.
  • Communicate effectively with the nationally contracted courier regarding the effective and efficient collection and delivery of training crates. Maintain the tracking system to monitor progress of the crates and update accordingly, reporting any potential loss of materials to managers as required.
  • Produce and distribute relevant materials post training such as certificates and reports.
  • To provide effective and efficient administrative support to all teams within IS as required, including Data losses and booking meeting rooms, etc.
  • To maintain all contact lists, ensuring all are kept uptodate and complaint with GDPR legislation.
  • Where allocated and within designated timescales, carry out any specific tasks identified by the Business Delivery & Development team as directed via management.
  • Engage with managers and supervisors with implementing and updating processes as required, including following feedback received from stakeholders as appropriate.
  • Lead on customer relations by attending to items that arrive in to the IS functional mailboxes, in a professional and timely manner.
  • To deal with enquiries from stakeholders in regions, establishments, other HQ departments as well as external groups and organisations.
  • To assist in the delivery of regular and ad hoc meetings as required by management, including making appropriate arrangements, taking good quality minutes and following up identified action points.
  • To provide administrative support for the Head of Business Development and Delivery and the Specialist Support Services Administration Manager in the preparation of information to be presented to various audiences, such as Management Information.
  • Conduct general office duties, including shredding, photocopying documents, postal duties and maintaining filing systems.
