£20,500 - £22,500 per annum DOE


Role Purpose:

The key purpose of this role is to represent our company culture, values and ethics whilst welcoming all visitors to our Head Office.

The role holder will also have a critical role in encouraging the highest standards of behaviours from all colleagues who use the office as a primary or secondary place of work, this role is fundamental to ensuring our office functions well, and our security and office facilities arrangements are upheld at all times.



Main Responsibilities:

The role holder is responsible for managing the front office and assisting with general administrative tasks, to ensure the smooth day-to-day functioning of the office.

In addition, the receptionist will support the Executive Management Team, providing a confidential and discreet administrative service where required.

The Receptionist at Wildanet is also a key driver of our Environmental and Social Values strategies, participating in the relevant groups and championing these initiatives throughout their day to day activities.


Key Activities:

While duties and responsibilities will vary, they typically include:

  • Greeting and assisting all visitors at our Head Office with a positive, helpful attitude and announcing visitors as necessary.
  • Helping maintain workplace security by issuing, checking, and collecting ID badges as necessary and maintaining visitor logs.
  • Preparing meeting rooms.
  • Assisting the Executive Management Team with administrative tasks as requested and performing adhoc general office administrative duties where required.
  • Maintaining office inventory such as stationery and consumable supplies, conducting regular stock checks and replenishing supplies.
  • Receiving, sorting, distributing and dispatching daily mail
  • Conducting regular checks on communal areas of the office maintaining and demanding the highest standards throughout the building.
  • Completing daily checks and ensuring functionality of shared equipment, e.g., photocopier and franking machine.
  • Prepare and coordinate meeting resources and background materials, as needed.
  • Plan adhoc Leadership Team meetings and other events, including preparing and coordinating meeting resources and background materials as required.
  • Assist in all aspects of preparation of key corporate events, including reserving conference rooms or venues and ordering food and other materials needed.
  • Distribute information and meeting materials to participants per agreed timelines as requested.
  • Organize Microsoft Teams and teleconference support, room requirements and other meeting items as needed.
  • Manage and arrange all travel, develop detailed travel itineraries and meeting agendas when required for the Executive Team.
  • Confirm general travel and accommodation requests across the business using Travel Perks Ap.
  • Assisting the HR team with recruitment, onboarding and termination processes as required.
  • Managing the office petty cash.
  • Participate as a key member of the company ESG and Charity groups.

Essential Person Specification

Knowledge:


  • Good understanding of the importance of maintaining confidentiality.

Skills/Attributes:


  • Consistent, professional dress, and manner.
  • Excellent written and verbal communication skills.
  • Good time management skills.
  • Able to contribute positively as part of a team, helping out with various tasks as required.
  • Willingness to drive office standards by demonstrating best practice.

Experience:


  • Prior experience as a receptionist or in a related field.
  • Experience with administrative and clerical procedures, preferably to senior managers.

Qualifications:

Good standard of formal education, with excellent literacy and numeracy skills.


Circumstances:


  • The role holder will be exposed to highly sensitive and confidential information and must have the highest level of professional integrity.
  • Usual working hours 9am 5pm
  • Based in Liskeard Office
