Hours of work for an Executive Assistant : Monday to Friday - 37 hours a week, flexible on timings


Salary for an Executive Assistant:
£25,000 to £30,000 annual, depending on experience


Duties & Responsibilities of an Executive Assistant:

  • Develop a system and approach to manage and coordinate complex Team Leader calendars and activities
  • Keep staff well informed of upcoming commitments and responsibilities and ensuring arrangements and planning are in place
  • Lead the arranging and preparation for meetings, workshops, events and seminars, including all associated materials, travel and accommodation requirements
  • Ensure key meetings are well planned, well communicated, have clear outcomes set and have summary notes and actions captured
  • Act as the point of contact for external partners
  • Manage legal and assurance requirements including liaising with landlords on lease arrangements and office maintenance, developing and maintaining systems to stay on top of asset registers, equipment warranties etc.
  • Maintain the office condition to high standards and ensure that each day the space is prepared (layout, materials etc) for the day's activities
  • Create and maintain ordering and procurement systems for the purchase of office supplies (stationery, equipment, refreshments etc)
  • Create and deliver an induction plan for new members of the team with regards to office systems and processes, day to day working arrangements of team members
  • To produce and present high quality written and verbal information in the form of updates and presentations

Experience or knowledge required from an Executive Assistant:

  • Experience of managing / running a busy office environment (both the building and people aspects), proactively making things happen and responding to issues/queries as they arise
  • Demonstrable experience of providing executive support to senior management, including proactive calendar and capacity coordination and management, note taking and action capture and tracking
  • Demonstrable experience of coordinating all aspects of event attendance and delivery, including any planning for materials requirements, travel and accommodation
  • Highly developed interpersonal skills, able to communicate at all levels (both written & verbal), to update, assure and where needed influence
