Working as part of the Responsive Works Support Team, which provides property maintenance services, you will play an essential role in delivering this first-class service.


Duties and Responsibilities:


  • Answer main reception telephone, manage calls in a clear and professional manner
  • Deal with general administration queries including transport arrangements, uniform, post distribution and pay in cheques
  • Respond to customer/client queries, maintaining good customer relations
  • To accurately process confidential information, customer complaints and other documents as required
  • Manage IT help requests for IT Consultant to action
  • Liaise with HR regarding any training requirements in relation to Vision
  • Liaise with Operations Managers, Health and Safety Consultant and /or HR in relation to any issues which arise regarding vehicle checks and maintenance
  • Work closely with the Operational Manager(s) to ensure the smooth running of the Refub services.

This includes, but is not limited to:

  • Following a job through from start to completion on the Freeagent system, adding to Freeagent, server and tracker, and undertaking the necessary processes to ensure it is ready for quote
  • Ordering/Buying of materials for Refurb and Responsive teams including Projects when required
  • Adding materials to all jobs
  • Track, chase and accept quotes for Refurb and Responsive
  • Chase payments for Refurb and Responsive
  • Liaising with the Surveyor including calendar organisation, Survey Sheets and handover
  • Maintaining yard lists
  • Chasing timesheets when necessary and processing timesheets in Operations Manager's absence
  • Organising scaffolding for jobs where necessary and required
  • Adding operatives' wages to jobs and pass to Buyer for onward transmission to Accounts
  • Invoice completed works and send to Commercial Manager weekly
  • Ensure purchase ledger invoices are added to each job to materials

Salary:

£19,200 - £21,600 DOE

This position is Monday - Friday, 7am - 4pm or 8am - 5pm.
