Manchester office and working from home. Min. 2 days pw in the office.

Salary:
£21,000 - £24,000 (dependent on experience)

As the Practice Administrator, you will work closely with the Practice Manager, Deputy Practice Manager, HR & Admin Manager, and Finance Manager to support internal administrative functions.

Your responsibilities will include supporting client administrative processes for all partners including the legal team, assisting with finance management, coordinating internal meetings, providing admin assistance with client proposals and tenders, and updating the company website.

You will also provide ad hoc assistance on formatting and editing documents and other administrative duties as required by the Partners.


Purpose of Job & Key Objectives:
The Practice Administrator will work remotely and from the Manchester office to provide administrative support across the firm.

You will be line managed by the Practice Manager and work closely with the Deputy Practice Manager, HR & Admin Manager and Finance Manager to support internal administrative functions.


Responsibilities

  • Supporting client administrative processes, managing each stage of opening and closing matters for all partners including the legal team and maintaining files on our client administration software (Clio) all whilst complying to SRA regulations;
  • Ensuring Anti-Money Laundering checks are carried out as appropriate, as well as any other client engagement tasks;
  • Supporting the Finance Manager; billing queries, recording payments on to Clio;
  • Assisting with the coordination of internal meetings, including circulating documents and agendas as required;
  • Providing admin assistance with client proposals and tenders as required;
  • Ensure information on the company website remains up to date and that new information is uploaded as required;
  • Ad hoc assistance on formatting and editing documents and administration as required by the Partners;
  • Updating all letterhead and invoice templates whenever a new Partner joins or details are updated (roughly once every 8 weeks);
  • Assist with answering the phone to deal with enquiries and forwarding messages to the appropriate person;
  • Any other duties as required by the Partners in support of the administration of the firm.

Person Specification
Essential

  • 13 years' experience of office administration or a relevant administration experience;
  • A competence with numbers and understanding of financial terms;
  • Excellent IT skills and strong attention to detail;
  • The ability to work calmly and accurately under pressure and to tight deadlines;
  • Reliable and adaptable, with an ability and willingness to work independently;
  • Exemplary communication skills, both written and verbal, with clients and colleagues;
Desirable

  • Experience of writing reports, and to a high standard;
  • Experience with online marketing and social media;
  • Experience within the legal, arts and charity sectors;
  • Some knowledge of accounting familiarity with numbers and spreadsheets;
  • Confidence, drive, ambition, and a cando attitude;
  • An interest in the legal, arts and cultural sector.
