Executive Facilities Officer - Aberdeen, United Kingdom - Blue Arrow
Description
An exciting opportunity has arisen with our client based in Aberdeen who are looking to recruit an experienced full-time Executive Facilities Officer on a temporary basis for 6 months with the potential for this to be extended.
This role offers an immediate start with a pay rate of £ £15.06 p/h dependent on experience.Key tasks will include but will not be limited to:
- Deputise for management to provide additional support/assistance when required.
- Create minor work task orders on finance spreadsheets and internal systems.
- Daily and weekly updates of small works and budget projects.
- Use internal systems to monitor reactive calls
- Use systems to provide statistics detailing reactive tasks and audit a sample on a biweekly basis to be reported to senior managers.
- Assist senior staff with the coordination small works
- Assist with Fire evacuations and other H&S site issues
- Support FPO for site fire safety management.
- Contractor liaison with Contractors and Sub-Contractors
- Organising and minute taking for quarterly meetings.
- Creating & issuing security passes in line with policy, checking appropriate permissions are in place each day.
- Preparing detailed correspondence and checking that of others;
- Compiling, verifying and reporting data to relevant parties.
- Completing forms or reports
- Managing the workload of a small team, if required.
- Various team support where needed eg. occasional cover for reception
Essential Knowledge, Experience and Skills:
- Relevant experience in a Facilities/Project Management role.
- Good working knowledge of a range of office procedures and IT packages.
- Experience of working in a role that requires multitasking and time management skills.
- Experience of maintaining computerised and manual records.
- Excellent administrative skills.
- Analytical skills
- Strong organisational skills and a high level of attention to detail.
- Understanding of Financial systems and processes.
- Basic Disclosure Certificate (or willing to complete this) and/or BPSS
