ASTO is seeking an experienced Administrator to assist the General Manager in running the organisation. You will be an important part of this small 3 person team running a national charity, based in Gosport. The role could be 4 days a week, or flexi time if preferred.
We are looking for a highly motivated self-starter with excellent attention to detail, writing and numeracy skills and excellent IT competence.
The role will include routine day-to-day management of the office and the administration of a number of schemes, in addition to project support roles for annual recurring and one-off projects.
The role will be based at the ASTO office in Gosport. Successful applicants will need to undergo a basic DBS check. The salary is £23000 to £26000 dependent on experience. We also offer a generous pension scheme, and the option to sail with our member organisations on occasion.The ASTO Administrator will work closely with the General Manager to ensure the smooth running of the organisation
Required tasks will include:
Bookkeeping
Keeping accurate records of ASTO income and expenditure using our bookkeeping software (Sage Business Cloud accounting)
Invoicing members and individuals for membership fees, event fees and online training courses
Assisting the General Manager, Treasurer and auditors in the creation of budgets and the annual accounts
Membership and bursary administration
Requesting and compiling annual membership information
Keeping accurate records of bursaries awarded and payments due
Disclosure and Barring Service
Online course administration
ASTO provides a number of online training courses to our members.
The Administrator will set up login information, invoices and keep accurate records, and liaise with the course providers where necessary.
Office Management
The administrator will be responsible for utilities and Health & Safety requirements of the office, including electricity contracts, telephone and broadband, fire extinguishers, first aid equipment, PAT testing, etc.
Project assistance and support
Provide assistance and record keeping for projects including events and exchanges. This could include making travel arrangements, booking meetings and catering, and liaising with invited guests at events. You may also be asked to source background information for marketing and social media campaigns.
General
Skills needed
This role is often unsupervised so we are looking for someone who is self motivated, highly organised and can communicate well with the General Manager.
Essential
Relevant experience in an admin or secretarial role, or an admin qualification
Proficient in the use of Microsoft Office software including Word and Excel.
Self-motivated to complete tasks with a minimum of supervision
Literate and numerate
Excellent attention to detail
Friendly telephone manner
Be a team player, willing and happy to support the organisation with other admin, finance or research tasks as required
Desirable
Proficient in use of online accounting software (Sage) although training can be provided.
Confident IT skills including some basic website editing and administration of the company's Office 365 account. Training can be provided.
Some knowledge of Sail Training, the RYA training scheme or vessel coding would be of advantage.
