The Role

The key responsibilities in this role include;


As Administration & Customer Service Manager, you will have accountability for the Administration Team and Customer Service requirements for our VWG PDI Centre.

With support from the Senior Management team, colleagues as well as internal support service functions, you will:


  • Supervision of Office administration & Operations administration personnel/admin procedures
  • To manage flow of operational administration and communication to the PDI Operations Manager & General Manager
  • Produce daily/weekly/monthly statistics and status reports for both the Customer and the Company.
  • To be aware, understand and actively promote the requirements and needs of all operational roles in successfully achieving the agreed customer requirements
  • To carry out specific project requests from the PDI Operations Manager or General Manager in line with growth, customer demand and operational needs.
  • To ensure full support to PDI Operations Manager and General Manager appertaining to their duties, including preparation of agendas, meetings, statistical reports etc.
  • Coordination of daily maintenance and monitoring of computer systems
  • To attend Operational meetings as required
  • To assist the PDI Operations Manager to plan daily, weekly operations, including staff duties and shifts
  • To communicate with customer/end user in a prompt and courteous manner.
  • To complete all On Fleet administration duties
  • Manage Third Party facilitation diary
  • Control of petty cash
  • Manage purchase order issue and supplier invoice authorisation
  • Order and manage stationary supplies through approved supplier
  • Order, manage stock and issue GBA uniform
  • Liaise with Site Maintenance suppliers, including waste management, reporting any defects or discrepancies for remedial action
  • Update and issue Site Visitors diary to Security on a daily basis
  • To report any issues regarding Site security to the General Manager & PDI Operations Manager
  • Ensure procedures for ISO 9001:2008 are updated when required
  • To conduct operational audits where appropriate
  • Adherence to COSHH compliance including daily, weekly and monthly record keeping
  • Oversee and or perform any other incidental duties required to promote a service to the customer
  • To have a flexible approach to working hours in order to meet the operational needs of the business

Experience Required;


Given the nature of this role, it is required that you have 3 to 4 years administrative experience within a customer facing role and 2 to 3 years' experience in managing staff including performance monitoring.

In addition to your previous experience, we are seeking individuals who display the following attributes:


  • High competency and experience with Microsoft Excel & Word is required
  • Quality and customer service driven
  • Ability to prioritise and multitask in a busy environment
