Description

Job title Legal Assistant - Conveyancing


Responsible for Assisting conveyancers with residential conveyancing work


Salary range £20,000 - £23,000 depending on experience


Hours of work 37.5 hours per week, as follows: - Mondays to Fridays - 09:00
to 17:00 (30 mins for lunch)


Holidays 24 days plus bank holidays


Flexibility Location of work is flexible - exclusive office working; or

hybrid working (mixture of office and home working); or exclusive home working available


Support We provide our Legal Assistants with a large amount of
support from our administrators, and managers in relation
to your day to day work tasks


Main duties and responsibilities

Conveyancing

  • Assist with all administration and all legal matters regarding conveyancing including residential sale/purchase cases, freehold and leasehold, transfer of equity, remortgages.
  • To assist in ensuring all conveyancing work is accurate, effective, legally compliant and completed in a timely manner whilst always ensuring the work meets high quality standards.
  • At all times comply with the Conveyancing Quality Scheme and Lexcel accreditation standards.

Work tasks

  • Setting up new files on our online client system
  • Hoowla
  • Sending out client care packs
  • Chase clients for signed documents and money on account
  • Undertake conflict checks
  • Undertake AML checks
  • Undertake risk assessments
  • Check client ID documents are valid and certified correctly
  • Order office copies from HMLR
  • Order searches on purchase files
  • Prepare contract packs on sale files
  • Obtain redemption statements from lenders
  • Assist conveyancers with other work tasks
  • Provide updates to clients, brokers and estate agents
  • Assist conveyancers with exchanges, completions and post completion tasks
  • Undertake all other administration tasks (filing, post etc)

Client Relationship Management

  • Put the client at the heart of what you do.
  • Provide regular updates and clear information to clients at frequent intervals throughout the entire conveyancing transaction.
  • Continuously provide high quality work.
  • Listen to feedback. Escalate where necessary. Assist with implementing appropriate changes in accordance with client feedback.

Compliance and Risk

Assist in the following:


  • Adhere to SRA regulations including SRA accounts rules, Antimoney laundering rules and procedures, data protection rules and processes, and processes that combat conveyancingtargeted cybercrime.
  • Identify and immediately report compliance breaches to managers and promptly implement changes in order to address issues.
  • Regularly report to the Office Manager, Administration Manager, Head of
Conveyancing, Assistant Head of Conveyancing, Managing Director and other Directors on all matters regarding risk and compliance.


Personal Development

  • Ensure that your knowledge is up to date and that you continuously develop your competence and skills.
  • Identify ways to monitor and improve utilisation and efficiencies.
  • Comply with company policies, procedures and training requirements.
Any other duties reasonably required for the needs of the business.

PERSON SPECIFICATION

Qualifications CILEX or CLC is desirable but not essential


Experience Experience of assisting fee earners on residential conveyancing cases - including freehold and leasehold cases is desirable but not essential - full training will be given

Experience of complying with the Law Society's
Conveyancing Quality Scheme and Lexcel accreditation standards is desirable but not essential

Experience of using Microsoft Outlook, Microsoft
Word, Microsoft Excel
