Situated in beautiful Dorset with the prestigious Blue Flag beaches of Bournemouth and Sandbanks, the Jurassic coastline and a wealth of attractions and countryside to visit we are lucky to be in such a fantastic area.


We are seeking an experienced Practice Supervisor to be responsible for the efficient day-to-day running of Reception/admin teams, ensuring this is carried out in accordance with agreed Practice procedures, protocols, and timescales, reporting to the Practice Manager as necessary.

Based at Wessex Road and multi sites in Poole Dorset on a permanent part-time basis.


Job Summary

  • As Practice Supervisor you may be required to work within any of the administrative functions of the business:
  • Patient Services
  • Care Navigation
  • Call Hubs (located at Heatherview Medical Centre & Lilliput Surgery)
  • Medical records team & Prescription team
  • And any other administrative functions in line with the business needs
  • To undertake the staff rota to ensure that all annual leave, sickness and extended hours are covered.
  • To manage the workload of the team and ensure that all work is fairly distributed and completed in a timely manner.
  • Respond to patient concerns or complaints/feedback in the first instance by recording these and, if necessary, escalating them to your line manager
  • Ensuring your team provide a highquality service to the practice/Shore Medical and patients and work is completed to a high standard
  • To ensure all call handlers/medical telephonists are aware of Shore Medical Processes and ensure any training gaps are identified and training provided.
  • To be the first point of contact for your team for GPs and Nurses where appropriate
  • Ensuring a high level of personal presentation is maintained throughout the surgery in accordance with the policy.
  • To arrange regular staff meetings
  • Continually assess and evaluate systems recommending changes and improvements to your direct line manager as appropriate.
  • To be a positive influence and advocate of change to all staff
  • To be involved with the recruitment, final selection and then induction and new staff training for all new members of the Team.
  • Participating in staff probationary reviews, annual performance appraisal and assisting to set work and personal goals for the coming year.
  • Managing sickness levels within the team and carrying out return to work interviews with staff members
  • Provide a weekly update to their manager on the performance of the team highlighting any areas of concern, improvements implemented and successes from the week.
  • Responsible for maintaining sufficient stock levels within the practice to include consumables and stationary in accordance with the Shore ordering process
  • To ensure that maintenance requirements are reported and any basic premises maintenance is carried out locally.
  • To support Shore in the implementation of any new systems or processes.
  • To cover for line manager during annual leave or sickness
  • To be one of the practice Fire Marshals and take responsibility the completion of regular fire drills and alarm testing.
  • To carry out Compliance audits
  • Fire, Legionella, prescriptions etc as required following guidance and timescales. Ensuring training in these areas is up to date.
  • Ensure that all H&S policies are followed and aware of the personal responsibilities in relation to Health and Safety in the workplace
  • To follow all company policies and procedures
  • Take a leading role in overseeing and managing your team at each site ensuring an efficient daytoday running of the section ensuring this is carried out in accordance with agreed Practice procedures, protocols, and timescales, reporting to the Manager as necessary.
  • Ensure at all times the team present a warm welcome to patients and provide excellent customer service.
