THE ROLE


We are looking for a well presented, articulate EA / Office Manager to join a growing and successful company based in Twickenham.


The EA / Office Manager will be supporting the Chairman & CEO, and when required will also support the CEO and CFO with various tasks and administration duties.

This role is also responsible for the running of the day-to-day office operations. To be successful, you will have high attention to detail, take initiative, be proactive and have a can-do attitude.

Salary £46-50k + bonus and excellent benefit package

Hybrid working pattern 4 days in the office 1 day working from home


Requirements:


WHAT YOU WILL BE DOING

EA Responsibilities:


  • Managing calendar activities for the Chairman & CEO, CFO and CEO when required.
  • Coordinating domestic and international travel arrangements, including flights, visas, hotel bookings and meeting facilities.
  • Coordinating and providing administrative support for Leadership Team meetings, Executive meetings, Board / Committee meetings, and company offsite.
  • Taking meeting minutes, tracking actions, and managing followup.
  • Coordinating and assisting in the collation and preparation of various documents, including Board meeting packs and papers for relevant meetings, ensuring timeliness and consistency in the quality of presentation.
  • Building trusted relationships with colleagues, and internal and external stakeholders.
  • Manage arrangements for quarterly offsite UK Executive Strategy.

Office Manager Responsibilities:


  • Front of house
  • To be the first point of contact for staff, customers, suppliers, and global visitors.


  • Office Supplies

  • Proactively order routine items including food/beverage supplies, stationery, and cleaning products for all offices.
  • Coordinate company travel and accommodation via internal travel booking system, Egencia.
  • Room and hospitality management
  • Coordinate bookings, set up rooms and liaise with managers, including any catering requirements.


  • Compliance

  • Ensure health & safety, fire and waste issues comply, including risk assessments, organising fire, emergency lighting, smoke and extinguisher testing, PAT testing and reporting for all offices as required.


  • Manage contractors

  • Liaise with contractors for various services, including cleaning, heating, company plants, water machines, air conditioning, hygiene, waste, recycling & carpet cleaning for all offices.


  • Office landlord liaison

  • Access, security, general office issues and car parking for all offices.


  • Event Planning

  • Supporting with the organising of Summer and Christmas parties, company social and charity events

WHAT WE NEED FROM YOU

  • Solid experience in a similar role
  • Proficient in document assembly (board report)
  • Proven ability to manage conflicting priorities and deadlines to achieve business outcomes
  • Ability to work in an environment that requires sensitivity and confidentiality
  • Opportunity to travel to other offices in the UK and Ireland on occasions

Job Types:

Salary:
£46,000.00-£50,000.00 per year
