Hours:
37 hours per week x 40 weeks per year

8.30am to 5.00pm with one hour for lunch Monday to Thursday and 8.30am to 4.30pm with one hour for lunch on a Friday


Job Purpose
To provide a high standard of secretarial and administrative support to assist with the smooth operation of the organisation.


In addition, a good standard of general education will be required, together with advanced IT skills and the ability to work under pressure with a flexible approach to a wide range of work involved.

Main Duties
Provide a comprehensive and confidential service ensuring an informed, effective and accurate provision, liaising where necessary with appropriate staff
:


  • Send any documentation as and when required to Trustees, Hub Members, Local Authority Officers, etc.
  • To assist in creating documents, including presentations and spreadsheets, ensuring finished documents are of an excellent standard.
  • Proofread and draft, as appropriate, internal and outgoing correspondence in line with the College's corporate templates.
  • Liaise with senior leaders and other staff across the MAT, as appropriate.
  • Set up meetings and coordinate attendees, internally and externally by liaising with staff across the Westcountry Schools Trust and within Ivybridge Community College.
  • Take minutes/notes of meetings when required. Ensure that matters arising from meetings are dealt with by the appropriate people within agreed timescales.
  • General office practice duties such as photocopying, filing and circulating information.
  • Answer telephone enquiries from staff, parents, students, external agencies and members of the public.
  • Process and distribute incoming and outgoing mail as required
  • Oversee provision of refreshments for visitors and meetings when required. Liaise with the College Kitchen for the provision of lunches and other refreshments for meetings as required.
  • Other aspects
Handle all confidential correspondence with discretion and in line with the College/Trust's Data Protection protocols.

  • Use appropriate ICT packages as required, e.g. SIMs, VLE, website, ensuring accuracy.
  • Set up necessary files and update where necessary.
  • To maintain acceptable personal standards of professional dress and behaviour.
  • To be able to prioritise and work efficiently under pressure, to be flexible and proactive towards changes in daytoday working arrangements and priorities which are liable to change at short notice.
  • Duties and performance will be reviewed annually.
  • Attend occasional outofschool hour's functions as required.

  • Good organisational skills including the ability to prioritise.
  • A sense of humour and a patient, calm approach to deadlines and pressure points.
  • To be able to maintain datainput accuracy through frequent interruptions.
  • To respect and uphold confidentiality at all levels.


When required the post holder may be asked to work constructively as part of a wider College Support Team and to take an active part in the delivery of administrative needs in order to meet required deadlines.


Health and Safety


The post holder is required to make positive efforts to maintain their own personal safety and that of others by taking reasonable care, carrying out requirements of the law following recognised codes of practice.

The post holder is also required to be aware of and comply with Westcountry School's Trust policies on health and safety.
