Description

To provide an efficient and effective administrative support service to the older adult Community Mental Health Team (CMHT) in Kensington and Chelsea.

The post-holder will be expected to work without immediate supervision and to ensure that all duties are carried out to a high standard in liaison with clinical and managerial staff.

The successful applicant may have contact with patients or service users.

Secretarial

  • To prepare and distribute documents by copy or audio typing using Microsoft office software (letters, memos, CPA assessments and reports, etc), ensuring that all policies and procedures are adhered to
  • To provide a receptionist service and deal with telephone calls, correspondence and direct contacts with patients and other internal or external agencies in an appropriate and professional manner, using judgement and discretion where necessary and to refer complex matters to relevant members of the medical team.
Data Quality/Management

  • To ensure that the quality of data entered onto System One is in line with procedures.
  • To provide data and IT support to clinicians.
  • To undertake datarelated pieces of work for the Directorate, as requested by senior members of staff or the Directorate's Business & Service Improvement Manager/Business Support Officer.
Administration

  • To be responsible for the daytoday management of the office and, in conjunction with the Sector Administration Manager, to participate in the development, implementation and maintenance of office practices and procedures.
  • To arrange transport and book outpatient appointments as necessary.

  • To deal with outgoing and incoming correspondence, ensuring that incoming mail is distributed as quickly as possible.
  • To arrange and service meetings, taking minutes as and when required
  • To organise and coordinate training events etc. for staff.
  • To ensure that a central diary is maintained for all staff.
  • To actively manage diaries for the Consultants and the medical team.
  • To coordinate travel and accommodation arrangements.
Data Quality/Management

  • To ensure that the quality of data entered onto System One is in line with procedures.
  • To provide data and IT support to clinicians.
  • To undertake datarelated pieces of work for the Directorate, as requested by senior members of staff or the Directorate's Business & Service Improvement Manager/Business Support Officer.
  • To provide reports and charts using Microsoft Excel.
  • With appropriate training, to be proficient in the use of Tableau and have the ability to produce reports, read/analyse data and produce spreadsheets.
  • To work with the Team Manager in formulating and producing action plans in relation to data management. This will include monitoring progress against action points.
  • To have an awareness and understanding of required KPI, Monitor and CQUIN targets.
Medical Records

  • To maintain a filing system and to record the movement of patients' case notes according to Trust policies and procedures, ensuring that confidentiality of patient information is maintained at all times. To assist in carrying out a quarterly or annual audit of client case notes and be aware of the Data Protection Act.
