Administrator (12 months) in
London (Ilford), United Kingdom in we're looking for?
Your future role
We'll look to you for:
- PROJECT INFORMATION: Liaising with project team to coordinate information and compiling reports and presentations, sharing agendas and administering Teams and SharePoint sites for project reporting
- Provide a confidential, effective and professional service to the project team
- Provide onsite support to project director and team as required for example, managing meeting rooms, notice boards, greeting visitors
- Provide assistance and support to continuously improve project time efficiency, communication and organization
- COMPLIANCE: Manage signatures of Competition Guidelines/NDA and access to information; ensure notice boards have updated EHS information; administer office safety inspections
- MEETINGS: Arranging meetings and workshops including room bookings, equipment, refreshments, taking minutes
- PURCHASE ORDERS: Initiate POs and Shopping Carts then manage the life cycle through to ensuring payment of invoices
- CUSTOMER: Become a reliable point of contact for customers and build relationships
- OFFICE MANAGER: reception of visitors, room allocation, post, invoices, lunches,
- TRAVEL: Travel arrangements, bookings and expenses
- DIARY: Diary management and coordination
- ON-
BOARDING OFFICER:
Provide all the necessary support to new comers in the team including assistance with new equipment, PPE, documents, site familiarization, introduction to the team
- DOCUMENT CONTROL: Competency on document management systems sufficient to provide assistance to and cover for Document Controller.

Mandatory:
- GCSE's grades 94, or equivalent qualifications including English, Maths
- Strong experience as Project/ administrator
- IT skills competent user of Microsoft Office including Word, Excel, Powerpoint, Outlook, Teams, SharePoint
- Company's intranet & travel bookings
- Company's Purchase Order process
- Good knowledge of Alstom & other functional areas within the organization
- Basic knowledge of domestic market

- Experience in Rail industry
