The role


In a role where no two days are the same you will be involved in enquiries from employees, suppliers, contractors and external customers while ensuring the smooth running of a busy office.

This position will be full time (37.5 hours per week) and will be involved in a variety of day-to-day administrative tasks as well as project work.


Key responsibilities:


  • Ensure the smooth running of the office.
  • Promptly answering incoming calls and directing callers.
  • Welcoming and signing in visitors.
  • Ensure timely management of contract renewals, collecting quotes, and reviewing terms and conditions, raising any areas of concern to the Office Manager.
  • Ordering office supplies, such as stationery, refreshments, and cleaning products.
  • Engage with contractors, associates, and visitors as appropriate to ensure excellent facilities service, escalating any issues.
  • Undertake facilities related projects including preparing costs.
  • Provide administrative support to the Office Manager.
  • Process and track facility related purchase orders, maintain files etc.
  • Awareness of building & ground maintenance needs, escalating issues when needed.
  • Undertake any other duties for the team as and when required.

About You

Education and skills required:

  • Educated to GCSE standard or equivalent. 7 GCSE's grade 4 including Maths and English
  • Possess strong IT skills, including outlook, excel and word
  • Strong focus on attention to detail
  • Organised approach
  • Carry out tasks effectively and efficiently, knowing when to seek support and advice
  • Ability to work on own initiative and prioritise workload to meet required deadlines
  • Excellent verbal and written communications skills.
  • Motivated with good interpersonal skills and the ability to engage with colleagues on all levels.
  • Enjoys supporting others and being part of a team.
  • Flexible approach to changing work tasks and projects
  • Good problemsolving skills
