Job Summary


An exciting opportunity has arisen for a motivated individual to join our team at Victoria Medical Centre as a Medical Receptionist/Administrator.

This is a very interesting but demanding position within the Practice.

The post is 24 hours per week worked Monday to Friday.


Main duties of the job


The role of a Medical Receptionist is to work with our front-line clinical teams to support the delivery of the best primary care service to our patients.


More specifically, Medical Receptionists will be responsible for helping to maintain a friendly but effective first-line of patient contact, deal with patient tasks appropriately, follow our systems and protocols and keep the practice presentable and safe.

Medical Receptionists report to the Assistant Practice Manager.


Role details
Maintaining a friendly but effective first-line of patient contact.

  • Directing or booking patients appropriately with the correct service or clinician with the correct level of urgency
  • Use any tools provided to aid in effective triage of incoming patients
  • Ensuring that practice clinical resource and time isn't wasted so that it can be properly distributed to patients that need it the most
  • Dealing with queries that can be dealt with effectively at reception
  • Calling patients as part of our call/recall program to maintain our patient populations' health in a proactive manner
  • Staying organised to ensure that patients are received in a timely manner including those arriving in
  • Maintaining exceptional telephone manner and faceto face communication with all our patients including being warm, supportive and empathetic
  • Always maintaining confidentiality when handling patient data

Dealing with patient tasks appropriately

  • Booking patients appropriately as per triage protocols or as directed by clinical team where relevant
  • Register patients as per practice policies and procedures to ensure good access to the service and strong growth of the practice list
  • Report any changes in appointment books or abnormalities to your line manager
  • Ensuring that no incoming requests are missed or ignored through strong organisation

Ensuring our systems and protocols are always followed

  • Always following practice policies/protocols/procedures as trained
  • Keeping up to date with any changes in procedures as we develop and learn
  • Complete all induction and trainings as required by the practice including staying up to date on an ongoing basis
  • Identifying any issues with practice procedures and notifying your line manager
  • Notifying line manager of any potential or actual breaches in policies
  • Some notable policies include:

Keeping the practice presentable and safe

  • Ensuring that the practice is always kept in a presentable, friendly, and safe state including (but not limited to): o Reception area and Waiting area must be kept tidy o Notice boards / leaflets in all nonclinical areas must be kept tidy and up to date
  • Keeping the building safe and secure by following opening and closing procedures where needed
  • Following infection control procedures including in relation to specimens, spills and any other ongoing requirements
  • Support a high quality, efficient working environment in nonpatient areas including ensuring that your workspace is always tidy and organised
  • Attend and implement all training to support and maintain Health & Safety standards

  • Strong communication skills to enable communication with our diverse range of patients
  • High levels of customer service including warm, friendly, and empathetic in all circumstances
  • Influencing skills with the ability to persuade and negotiate with challenging patients
  • Fast learner who can follow processes and procedures accurately and efficiently
  • Enthusiastic and confident team player who will fit in well with the team

Skills, knowledge, and experience

  • Strong keyboard and computer skills
  • Knowledge of EMIS WEB clinical system desirable
  • Previous experience in a GP practice

Job Type:
Part-time

Part-time hours: 24 per week


Salary:
£19,760.00-£21,840.00 per year

  • Monday to Friday

  • Hebburn, NE31 1NU: reliably commute or plan to relocate before starting work (preferred)
