We have a fantastic opportunity to join our Facilities Management (FM) team as a Scheduler & Administrator.

In this role you will provide comprehensive scheduling and triaging of FM related work, ensuring the services, processes and procedures are followedto achieve agreed service level agreements whilst improving cost controls.


KEY ACCOUNTABILITIES

  • Working with the Commercial Support Help Desk to triage jobs to suppliers, taking ownership and to chase issues until their resolution.
  • To ensure software systems/databases are fully updated
  • To schedule work so as to maximise working effectiveness and job planning, with a view to reducing transportation CO2 emissions and cost.
  • To follow up on work in progress, working closely with field colleagues in order to deliver contractual SLAs.
  • To build and maintain relationships with internal stakeholders across all business areas, as well as with external suppliers and contractors,
  • To share continuous learning from past problem resolution towards the ongoing improvement of FM job triaging, sharing best practices and ideas with the wider FM team
  • To carry out adhoc administrative duties as per the business needs

KEY EXPERIENCE, KNOWLEDGE AND SKILLS

  • Ideally we are looking for an individual with solid experience in varied property management and/or FM and/or engineering FM problem resolution.
  • Proven ability to offer alternative solutions to technical problems and make timely decisions.
  • Experience in call handling and triaging problems in a high pressure working environment.
  • Ability to multitask, using strong organisational skills to prioritise, plan and deliver results from a changing workload.
  • Excellent phone manner a calm, patient and professional approach able to communicate to all levels internally and externally
  • PC literate, confident using MS Office suite products
