Main purpose


To support the human resource management of the Academy, reporting to the Business Manager but working closely with the Headteacher's PA.


Liaison with
Business Manager, Headteacher, Headteacher's PA, Payroll and HR Advisor (WorkNest) and all staff


Team Responsibilities


The Business Team provides support to the School to meet its strategic aims through robust and effective financial and people management processes and practices.

The job holder is required to have an understanding of the other job roles and functions within the Business Team, so that a seamless and consistent service is provided.


Role Specific Responsibilities


To be responsible for the Trust's human resource administration and data input; ensuring adherence to the correct processes, procedures and compliance with all safeguarding, legal and other external requirements.

To support and assist the Headteacher / Headteacher's PA in safer recruitment and selection process of all staff including:

  • Assist with preparing adverts, transmittal letters and associated documentation for approval
  • Ensure that all vacancies adhere to Trust procedures
  • Organising adverts in national media, online job sites using relevant software and any other relevant media
  • Work with the Headteacher's PA to coordinate the interview invitations and responses, schedules for the day, and arranging appropriate resources required
  • Producing all appropriate forms relating to appointment ensuring that all required personal information is obtained and liaise with the Headteacher's PA to issue contracts
  • Carrying out rigorous preemployment checks according to guidelines including obtaining references, DBS checks, barring check for teaching staff, medical checks and all other checks to ensure that all safeguarding requirements are met prior to employment
  • Probation monitoring


To support and assist the Business Manager to deal with staff queries such as their salaries, expenses, absence monitoring, sickness procedures including ill health retirement and maternity procedures.

To follow the HR policies ensuring meetings are scheduled in a timely manner and supporting the Headteacher in meetings

To maintain accurate staff records and ensure that all staff records held in the School are kept confidential.


On a daily basis update staff absence and send out self-certification forms to staff on their return along with return to work forms to their line manager for completion and log all responses.

Tracking the return of forms and chasing where necessary

To prepare and return the Sickness Record to Payroll on a monthly basis ensuring this is done to payroll deadlines

To process changes that have payroll implications and/or changes to employment contracts, including all new starter paperwork

Assist the Headteacher's PA with coordinating leavers Exit Interviews


To support the completion and submission of all personnel returns, staff workforce census and any other external requirements as required.

To contribute to the ethos and targets of the School.


Be aware of and take part in the Schools' performance management framework and participate in training and development activities as required.

To assist with any other administrative tasks as requested by the Headteacher or Business Manager.

This job description sets out the duties of the post at the time it was drawn up.

The post holder may be required from time to time to undertake other duties within the School as may be reasonably expected, without changing the general character of the duties or the level of responsibility entailed.

This is a common occurrence and would not justify a reconsideration of the grading of the post. There may also be changes to the team structure and reporting lines.
