PA to Deputy Chief Medical Officers
Concept Resources are working with Sussex NHS Foundation Trust to recruit a Personal Assistant to the Chief Medical Officers.

The role is based at the based Trust HQ in Brighton but covers the Brighton area although travel to Worthing will be required.

This is a temporary role on a 6 month contract with opportunities for potential further work, full time hours with flexibility between hours, hybrid working offered after training.


Job Purpose:


To provide comprehensive personal assistant support/secretarial duties to four Deputy Chief Medical Officers and to offer support on a Friday for the wider Chief Medical Officer.

To coordinate the administration, documentation, meetings including booking of rooms/virtual conferencing, agenda and papers distribution and accurate minute taking/action log management.


Main Duties:


  • To ensure the effective and appropriate use of DMCO's time through prioritising appointments, dealing with correspondence and dealing with senior staff from the NHS and other organisations
  • Nurture key relationships and maintain networks internally and externally
  • Ensure all communication is dealt with in a timely, efficient manner and deadlines are met, taking action, where appropriate, in the absence of the DCMO.
  • Type correspondence, reports and other documents to a high standard and with due respect for confidentiality and corporate style.
  • Respond to correspondence frequently using written, verbal and facetoface communication. Using empathy, tact, sensitivity and judgement to deal with all queries in a professional, confidential and sensitive manner, especially where there are barriers to understanding.
  • Manage sensitive and complex information, deal with confidential information.
  • Provide diary management for the DCMO
  • Prepare agendas from previous minutes, collate documents and meet deadlines, once agreed.
  • Take minutes when required and type formal minutes from given copy
  • Create presentations and amend from given copy. Facilitate meetings with prior preparation.
  • Proofread documents for spelling, punctuation, format and grammar. Reformat documents as needed.

Person Specification:


  • Personal Assistant or equivalent secretarial experience essential
  • NHS desirable
  • Good level of education
  • Strong administration skills written grammar, knowledge of filing / record management systems.
  • Confident and friendly telephone manner. Able to take accurate telephone messages, collect relevant information, and deal with difficult callers, including members of the media.
  • Customer service able to build relationships
  • Able to work off own initiative.
  • Complex diary management and organisational skills,

Salary:
£11.76-£14.32 per hour
