Registrar & Marketing Co-Ordinator

Job purpose

To be responsible for all aspects of the admission process for both starters and leavers at
SPS.

To be responsible for all marketing activity for SPS including strategy, website,
marketing material and social media platforms.

Reporting to the Head.

Responsibilities of all Administrative Staff

The administrative staff members at Sunninghill Prep School have key roles in
the efficient and smooth running of the school. They work as part of a team with
specific responsibilities and sharing certain responsibilities;

Administrative staff should aim to ensure that all visitors are quickly made
welcome and enquiries dealt with promptly and efficiently;

Administrative staff should aim to ensure that information is communicated
efficiently to those who need it;

Administrative staff should aim for high quality of presentation in all documents
that represent the Head of Sunninghill Prep School.

Key Accountabilities and Responsibilities

Admissions

To be the first point of contact for any new admissions enquiry either by phone,
paperwork, registering new starters and school leavers;

To organise prospective parents school tours. To liaise directly with the families
before, during and after their visit. Brief teachers on specific year group visits;

To organise taster days with teachers (and Learning Support checks should they
be necessary during their day). Feedback to prospective parents during the day.

Arrange teacher meetings, buddies and catering requirements and ensure that
the de-brief meeting is arranged with the Head, teacher and the Parents;

To keep the Admissions database up to date (PASS) with enquiries, joiners and
leavers;

To produce and collate data on joiners, leavers and new enquiries and keep the
class lists up to date. Produce and update the five year projections for pupil
projections and identify 'gaps' in the classes;
Marketing

To organise and run the school events and ensure that all promotion is in place
(banners, social media, advertising, posters, tickets etc) to include three Open
Mornings, Grandparents' Day, Move up Day, PTFA events;

To maintain all marketing material up to date. Creating and developing any
requirements identified, promoting events and the school and ensuring
marketing communications are 'on message'. This includes, but not limited to,
liaising with print firms, signage company, briefing the marketing agency,
negotiating with companies for promotional material, producing the Prospectus;

To write the marketing strategy and plan and ensure that all activities are
scheduled and take place, including photography;

To keep the school website and social media accounts up to date, active and
interesting (Facebook and Instagram)


To include:

  • Planning of activities for publication in conjunction with the Head, Head
of Junior Prep taking into consideration the upcoming events in the
School Calendar

  • Photographing activities in school on a daily basis (with the assistance of
the School Secretary on some days when available)

To produce and edit the school blog Notes From a Small School (NFASS) three


times a week to include:
- deciding on fresh content
- taking photos and gathering content from staff
- ensuring the Head or guest writer has the content available to publish;

To provide marketing updates, strategies and plans for the Governors when

requested;

To collate from the whole school on-going content and photos for the Yearbook
and produce the printed material before the end of the academic year.

March 2023

Support for the Head

Meet and greet prospective parents, arrange catering and appointment times
with the Head;

To organise, attend, provide and distribute minutes of the Class representative
meetings in support of the Chair;

To produce staff identity badges.

Other duties

To assist with the front of house requirements when the Receptionist is
unavailable e.g. answering the door and telephone.

To be trained in First Aid and provide support for the children when required,
from administering medication to dealing with accidents;

Additional duties

Performing any other duties as reasonably requested by the Head/Bursar.

The rhythms of the school year and the life of a busy school, mean that there will be
occasions when the Registrar & Marketing Director may need to work beyond their
contracted hours. When this happens, time off in lieu may be given on a flexible basis.
