WHO WE ARE LOOKING FOR

  • An ambitious and experienced Operations Manager with + 6 years experience in live events operations to join the management team.
  • You might have a background as a Studio Manager, an Operations or Resource Manager, Event or Project Director, Account Director from a creative agency / live events
  • You have an interest and understanding of culture, design and creativity
  • You are super organised, a logístical and practical thinker with a love for systems and operations
  • You have a flexible and entrepreneurial spirit with an excitement to be a part of growing and shaping a young, ambitious boutique company
  • You have great attention to detail and an ability to hold a clear overview of the bigger picture
  • You have strong financial acumen, precision with budgets and numbers
  • You enjoy motivating and mentoring others and are a collaborative worker
  • Demonstrate strong leadership skills through warmth, collaboration, patience and listening, fostering a positive team climate that inspires others to excel and deliver

OVERVIEW OF ROLE

  • The role is the lynchpin of the company; taking responsibility for the smooth daytoday operations and providing leadership and support to all team members.
  • The role works alongside the SMT to evolve and innovate better ways of working.
  • The role will be the driving force behind company culture, a proactive manager who is looking to work in a strategic and business focussed role in a boutique company
  • You will implement and advise on company decisions and create positive change whilst keeping operations running like clockwork.
  • Be the catalyst for efficient ways of working and creating and maintaining systems and processes
  • Manage and maintain daytoday operations, facilities, finance and compliance of the business related admin
  • Working with the Director of Live and Company Directors, strategically track, maintain and feed into a finance system, keeping an overview of all activity, regularly reporting and ensuring the company remains financially sound
  • Maintain a positive and upbeat culture where staff can achieve their personal goals and collectively create outstanding work

FINANCE

  • Maintain and feed into company P&L and cash flow forecasting
  • Retain an overview of all project budgets, liaising with Producers and ensuring project cash flow is in line with company finances, client invoices are sent on time and updating financial forecasts as required
  • Create and maintain a system to regularly report data and progress to DoL and Company Directors
  • Work with the Finance Manager and company accountants regarding purchase orders, payroll, overtime and expenses
  • Implement and manage financial policies alongside the SMT and Finance Manager
  • Support Producers to oversee project resources against budgets
  • Support Producers to reconcile project budgets (where required), close budgets and raise client invoices for DoL to send

CONTRACTS & LEGAL

  • Manage the company's legal and statutory requirements and submissions
  • Monitor and update contract templates for clients, freelancers and suppliers, ensuring they are relevant, fit for purpose and legally compliant
  • Prepare SOW for clients, tracking agreed dates and deadlines are adhered to by Clients & Producers
  • Prepare contracts and NDA's where required, ensuring documents are tracked, filed and adhered to
  • Work with project leads to ensure that adequate best practice policies are in place and adhered to
  • Ensure that there is adequate H&S and insurance cover for all areas of the company's activities

RECRUITMENT & HR

  • Run the HR division of the company across the core functions; recruitment and selection, employee relations, performance and reward management and learning and development
