  • The opportunityWe are looking for a Technical Company Secretarial Assistant to join our London-based Company Secretarial team.


You will provide fee earning support to our partners and senior fee earners to help deliver great service to our clients; this is with the aim of progressing to have the opportunity to conduct your own caseload under supervision.

We are looking for a Technical Company Secretarial Assistant to join our
London-based Company Secretarial team.


You will provide fee earning support to our partners and senior fee earners to help deliver great service to our clients; this is with the aim of progressing to have the opportunity to conduct your own caseload under supervision.


Your key duties will be:

- overseeing routine compliance for companies maintained in Diligent Entities, and where applicable:

  • maintaining statutory registers
- processing share transfers, share allotments and changes of directors
- carrying out company formations
- completing companies house filings
- preparing and filing dormant accounts
- management and oversight of the statutory and regulatory filings and requirements for all UK companies
- working with a range of clients from private limited companies to listed PLCs
- supporting company secretaries in the team
- assistance with preparing board papers
- contributing to the Corporate & Governance article and other articles posted on our website
- providing routine administration (forwarding post, filing, booking meeting rooms)
- filing of minutes
- drafting routine minutes and other documentation to record various corporate transactions
- drafting minutes for internal company secretarial team meetings
- assisting partners with providing high quality legal services to clients on a broad range of company secretarial work
- maintaining good working relationships with clients
- maintaining good file management including electronic storage
- responding to client queries, taking telephone calls, handling queries and enquiries where appropriate
- keeping abreast of all professional developments in own area of work and undertaking such training as required
- ensuring confidentiality and security of all documentation / information belonging to the firm and clients
- undertaking projects and any other tasks as directed by the line manager
- ensuring personal time recording and billing targets are achieved
- ensuring that all chargeable work on client matters is properly entered and charging units accurately recorded


Skills and experience you will have:

  • minimum of 1 year's previous experience
- previous experience in a professional services environment would be preferable, but not essential
- demonstrable experience and knowledge of using Diligent Entities

  • A good working knowledge of Word, Excel and PowerPoint, Companies House etc.
- a good practical knowledge of Companies Act 200- sound verbal and written communication skills are essential
