JOB TITLE:
HR Administrator


Responsible to:


HR & Business Support Coordinator

Location:


Hybrid role, with a mixture of home working and office attendance (based in Falmer) one day per week.

JOB PURPOSE:


To take full responsibility for the smooth running of HR Administration activities within HR Dept Sussex-by-the-Sea across all clients whilst coordinating with the HR team to support in the delivery of key business HR objectives and legal matters.


You will provide administrative support for the whole HR team, across all HR clients maintaining high levels of customer service and accuracy in all interactions and tasks.


MAIN RESPONSIBILITIES:


HR

  • Provide a highquality HR admin service to all HR clients with accuracy and speed of response, taking responsibility for the work you carry out at all times.
  • Be proactive in providing an exceptional service to our clients, knowing that we interpret their needs and proactively deliver upon them.
  • Attend formal HR meetings with clients at their site as and when required as note taker e.g., disciplinary hearings, redundancy consultations etc.
  • Attend client sites to carry out HR Audits and any other necessary tasks.
  • Carry out Contract and Employment and Employee Handbook reviews for potential and existing clients.
  • Create Contracts of Employment and Employee Handbooks for clients.
  • Create documents and letters accurately for clients as directed by the HR team.
  • Own the setup of HRIS for new clients.
  • Manage and maintain HRIS for all Key Clients and Admin Clients, with particular focus on holidays and absence
  • Coordinate the set up of HRIS systems for new clients.
  • Prepare and maintain HR files.
  • Take full ownership of the onboarding of new starters in Key Clients and Admin clients.
  • Inform the line manager of the probation review date and produce relevant correspondence for all Key Clients and Admin Clients.
  • Produce relevant contract termination correspondence for all Key Clients and Admin Clients.
  • Coordinate the leavers checklist for all Key Clients and Admin Clients.
  • Coordinate and conduct exit interview process where required for all Key Clients and Admin Clients.
  • Support the data gathering and entry for the KPI reports for all Key and Admin client and update them monthly.
  • Develop strong relationships with clients, nurturing them so that they rely on the HR Dept as an essential part of their business through high levels of trust and confidence.
  • Administration of surveys & questionnaires on behalf of clients to gather and collate HR data and draw conclusions from this.
  • Engage with clients to ensure they adhere to processes.
  • Identify areas upon which to improve processes and efficiencies.
  • Escalate issues to the manager and preempt issues.
  • Carry out marketing activity to increase the awareness of HR Dept SussexbytheSea

RECRUITMENT

  • Placement of advertisements on job boards and social media.
  • Conduct telephone interviews
  • Coordination and scheduling of selection process and interviews.
  • Production of standard response letters to applicants.
  • Provide clear and regular feedback to clients throughout the recruitment cycle.

KEY SKILLS & BEHAVIOURS

KEY SKILLS

  • Good and improving level of UK Employment law knowledge is desirable, ensuring this is kept up to date at all times.
  • Experience in an HR role is desirable
  • Speaking to client's with clarity, confidence and accuracy.
  • Exceptional attention to detail.
  • Strong organisation skills.
  • High level of accuracy is paramount.
  • Confident and clear telephone manner and skills.
