Job summary


To be responsible and provide an efficient, comprehensive secretarial & administrative support to the practice business manager, doctors and health professionals involving word processing and audio typing skills with general clerical work over two sites.

The main purpose of the job is to undertake transcription and typing of referral letters as dictated by clinicians. Currently this involves audio typing, completion of electronic referral forms and adding electronic referrals to the system as required.

Job responsibilities
To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports and patient referrals.

To assist the Practice Business Manager and Assistant Practice Manager with clerical and administrative duties

To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.


To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries relating to referrals.

To assist with the gathering of statistics and information when required.

To provide cover for members of the secretarial team during periods of sickness and annual leave.

To assist in the recall system for patients who require screening and review appointments including recalls for QOF (Quality and Outcomes Framework)

To ensure effective communication between patients and all members of the primary health care team To collate, process and record information in accordance with practice procedures

To attend, contribute and take minutes as practice meetings

To support practice to deal with medical insurance reports

To help with the document scanning and coding

To undertake training as required for the purpose of the job including medical terminology

  • GCSE or equivalent (required)

Experience:

- administrative: 1 year (preferred)

  • Customer service: 1 year (preferred)
- medical secretary: 1 year (required)
