Salary:
£23,144 to £24,285 with progression £26,396 per annum

The Role

We are looking for a highly motivated individual with proven ability in project or research administration.
You will be based in the School of Geography, Politics and Sociology at Newcastle University. This is a varied and exciting role with extensive opportunities for external collaborations with international partners. You will have the opportunity to gain experience of large scale international project working.


The main objectives are to support the day-to day delivery of the UKRI GCRF Living Deltas Hub, an international research programme aimed at improving futures for delta dwellers in South and South East Asia.

Working with a core group in Newcastle you will be part of a team of over 130 researchers and professionals worldwide.

You should be an excellent communicator, with a proven ability to use initiative and plan workload effectively. This is a part-time (0.5 FTE) post fixed term until 31st March 2024, with the opportunity for blended working.

Key Accountabilities
Coordination and maintenance of shared communication and planning tools including calendars and Microsoft Teams
Maintenance of up-to date contact information for all project partners, taking a pro-active approach to updating changes across a range of platforms
Monitoring and processing of financial transactions, purchasing and e-expenses for Newcastle staff across schools in HaSS and SAGE
Coordinate essential governance meetings (Operations Group, quarterly Executive Group and external Advisory Board), including contacting attendees, preparing, and circulating agendas and associated documentation, taking minutes and ensuring follow up actions are carried out

Work with colleagues across the Hub to collate and disseminate communication and marketing materials including scheduling posts for social media, proof reading and uploading blogs.

This will require having a general awareness of the Hubs outcomes and intended impact Ensuring comprehensive and accurate record keeping, including financial records in preparation for reporting and audit
Provide logistic and organisational support for the delivery of multi-day Hub events, which take place both virtually and in person

The Person (Essential)

Knowledge, Skills and Experience
Previous experience in a relevant role
Advanced user of Microsoft Office, experience of Microsoft Project would be an advantage
Excellent administrative skills, including experience of financial processing, preparing for and minuting meetings, and the ability to develop and implement new systems and procedures
Ability to handle project-related finances including travel booking and purchasing
Able to work reliably and accurately with attention to detail
Experience of working in a university environment, previous experience of university systems (e.g. SAP) would be advantageous.

Ability to prioritise workload, to use initiative and work under pressure, working independently whenever possible but being aware when to refer decisions upwards or ask for further advice
Ability to form good working relations across the University and with external collaborators
Be able to communicate, both orally and in writing effectively at all levels across the Hub
Act with sensitivity and professionalism when dealing with external collaborators
Develop and maintain strong working links with the international partners to enable them to meet their project commitments
Occasional work outside core working, including international travel, may be required to assist with Hub related events


Qualifications:

Grades A-C in English Language and Mathematics GCSE (or equivalent) or vocational qualifications
Very good level of literacy and numeracy
