Customer Service and Events Officer

Salary:
SCP Points 7-12 (£22,369 - £24,496 pro-rata)


Hours: 20 Hours per week (Monday to Friday pm) with flexibility to attend events outside these office hours when required.

Location:
Mumbles Community Council office at Ostreme, Mumbles, occasional off-site working when assisting with events


Main Purpose


The primary function of the role is to ensure the smooth running of the general office and the provision of high-quality customer service to residents, visitors, officers and councillors.

The role will also provide assistance to the Marketing, Editorial and Events Planner, when required, in the organisation and co-ordination of community events.


Main Duties

  • Organise and be responsible for the day to day running of the general office.
Provide a high-quality administrative service to assist other officers and councillors including:

  • Answering the phone and taking messages
  • Booking meetings for colleagues and arranging meeting schedules
  • Organising filing systems and updating databases
  • Ordering new office equipment, consumables and event resources
  • Responding to questions and requests for information from Councillors and members of the public.
  • Assist at Council functions and events which occur both inside and outside of normal office hours.
  • To assist the Marketing and Events Manager in all elements required to produce high quality events, to include liaising with local businesses, service providers, suppliers and partners, obtaining quotations, ordering of resources, promotion activity and maintaining records.
  • Provide occasional support and minute taking for Council and Committee meetings in the evenings.
  • Research and develop good relationships with local businesses to encourage participation in local events and the identification of potential event sponsors.
  • Support the Council's vision for the future and its aspirations in line with the sustainable development principles of the Wellbeing of Future Generations (Wales) Act 2015.
  • Work with colleagues in a team setting to develop new initiatives and/or services.
  • Carry out further duties appropriate to the post in furtherance of the Council's purpose, aims, objectives, policies and priorities.
  • To operate within the framework of policies, procedures and guidelines as laid down and agreed by MCC to ensure the inclusive and accessible delivery of services to the members the community.
  • To model high personal and professional standards in accordance with the MCC Code of Conduct.

Person Specification

Customer Service and Events Officer

Experience:


  • Ideally with experience in a customer service and administrative role, working as part of a small team in a public facing role.
  • Ideally with experience of supporting large successful events.

Knowledge & Skills:


  • This role requires a high level of coordination, attention to detail and the ability to multitask.
  • Excellent administration skills, organisation and timemanagement skills.
  • Proficient in using MS Office packages including Word, Excel, Powerpoint, Outlook and Google Docs.
  • Good communication skills, confident in dealing with members of the public by phone and in person.
  • Good interpersonal skills, with the ability to build relationships both internally and externally and to act as an ambassador.

Job Types:
