Description

F/T Communications Administrative Assistant required for leading charitable organisation based in North Belfast for approximately 8 months.

Role:


This role will support both the Marketing and the Communications teams with administrative support as well as helping with the organisation's internal communications and event management.


Duties will include:


Administration

  • To provide administrative support for the commercial marketing and corporate communication teams, including general office administration.
  • To manage and monitor key activities and work with colleagues to ensure the efficient and timely delivery of the required outcomes.
  • To compile data and present information in a report format as required.
  • To undertake project work that may be required within the timeframes given.
  • To get quotes for work required, manage purchase orders and liaise with the Finance Team on behalf of the teams.
  • To maintain the organisation's media list, ensuring all contacts are up to date.
  • To attend meetings as required and take minutes for circulation.
  • To be a point of contact for the Communication and Marketing Teams for external and internal stakeholders.

Event Management

  • Work with the Communication Managers to implement the event brief for any corporate events for Hospice.
  • Coordinate and monitor budget, invoicing, and logistics.
  • Select and negotiate with vendors and monitoring their activities to ensure quality control for specific activities, i.e catering, print etc.
  • To provide excellent customer service before, during and after the event for all stakeholders.
  • To be a key part of the event management team for set up, delivery and breakdown of the event.
  • To be one of the Point of Contacts during the event alongside the designated event manager.

Internal Communications

  • To work with the Communications Teams to identify key opportunities for the internal communication content calendar.
  • To support the Communications Managers with delivery of key messages across the organisation.
  • To collate survey feedback in a report format for management.
  • To be key contact for internal communications within the organisation.

Essential Criteria:


  • Minimum of 5 GCSEs (Grade C or above to include English Language & Maths)
And 1 year experience in a similar role


Or
2 years' relevant administrative support/coordination in a fast-paced environment

  • Administration coordination within a fastpaced office environment.
  • Administration coordination within a fastpaced office environment
  • Planning and organising work activities to meet tight deadlines.
  • Working in a team environment
  • Excellent communication skills (verbal and written) with a variety of internal and external stakeholders.
  • Proficient in MS Office

Hours or work:
Monday - Friday 37.5 per week
