Job Purpose


As part of the Executive Assistant team, support the relevant Executives in the leadership and management of a high performing and engaged global organisation.


Key Achievements & Responsibilities

  • Perform all standard duties of an Executive Assistant proactively and flexibly diary management, travel, meetings, planning, expenses
  • Support the preparation of papers and agendas for various governance and other committees and meetings as required, and proactively ensure your Executives have all the documents they require for such meetings well ahead of time
  • Organise internal and external meetings (agendas, arrangements, meeting notes, follow up), with the Executive team and directorate coordination
  • Coordinate and manage all aspects of daytoday activity through standard systems and processes such as HR records, POs, contracts and budgets
  • Undertake projects and programmes of work as directed and required by the EA Team Leader and any of the Executives you support and deliver to time, quality and cost
  • Design and produce documents, communications materials, presentations and correspondence to the RICS standards and house style / brand using the RICS Brand library where appropriate and maintain SharePoint or other systems for document management
  • Work collaboratively EA colleagues to improve work practices and achieve efficiencies
  • Manage own projects and play a key supporting role on other initiatives as agreed with the EA Team Leader and Executives you support
  • Wherever possible provide administration support to the teams which your Executives lead

Expected Outcomes:


  • Smooth running of the directorates, meetings and events arranged in an organised manner
  • Clear lines of communication between the Executives and their wider team established and maintained
  • Effective working relationships with key external stakeholders including Governing Council Members, Presidential team, Chairs of Boards incl. dealing with member & external complaints
  • Deadlines for internal processes met [e.g. business planning deadlines, performance reviews, objective setting, etc.]
  • SLAs for responses are agreed and consistently met
  • Successful management of commercial contracts
  • All documentation prepared and issued is accurate, errorfree and branded appropriately

Experience Required

  • Highly efficient and organised with good project management skills supporting the delivery of the project to timescales and budgets.
  • Highly developed interpersonal skills, with the demonstrated ability to be empathetic with their support whilst having to remain confidential and, in some instances, push back
  • Completely trustworthy and discreet in handling confidential information.
  • A selfstarter able to multitask, prioritise and work to own initiative.
  • Able to communicate and work effectively with a wide diverse group of senior stakeholders, colleagues and thirdparty suppliers (where applicable).
  • Strong eye for detail and excellent command of written English, including ability to collate board papers
  • Proactive, flexible and solutions focused.
  • Strong collaborative behaviours
