Job Role.


Reporting to the Business Support Manager, provide a pro-active customer focused business support service to all teams within Riverside Scotland ensuring all duties are carried out in line with agreed procedures.


Accountabilities or "What You Have to Do"
- administrative support as needed, to ensure the effective implementation of all compliance management functions, including liaising with operational colleagues to secure access to tenancies within required timescales for all compliance checks.

  • Provide administrative support as required to the Asset Services Team maintaining accurate data on stock condition, providing admin support in relation to the implementation of capital works programmes and disabled adaptations, ensuring systems are kept up to date and accurate performance information can be produced on a regular basis.
  • Coordination of complaints including maintaining register, acknowledging complaint and allocating to relevant colleague for action.
  • Provide administrative support relating to the factoring service including but not limited to issuing Written Statement of Services, amending the Housing management system as directed, issuing ad hoc letters etc.
  • Organise and file documents in accordance with approved systems to ensure that records can be located efficiently.
  • Process all outgoing and incoming mail ensuring any issues are promptly resolved.
  • Assist with the smooth running of the office by liaising with the landlord as necessary, ensuring adequate stock of office supplies are available and regular housekeeping checks are carried out.
  • Organise and coordinate events including meetings and conferences; booking venues, accommodation, catering, transportation and any other resources to ensure they meet requirements and operate efficiently.
  • Assist with budgetary control by ensuring orders for goods and services represent value for money and are processed through the approved systems using the agreed procedures.
  • Undertake data cleansing exercises to ensure full and accurate data is maintained but not retained beyond the term stipulated in the Data Retention policy.
  • Ensure internal business processes are followed in line with the Association's policies, procedures and statutory requirements.
  • Respond flexibly to any necessary changes in work priorities and undertake other duties when required to support the effective operation of the service.
  • Contribute to the continuous improvement of processes and procedures.
  • Work in an agile/flexible way to deliver a highly proactive services to customers.
  • Ensuring that all data protection requirements are met in accordance with policy, procedures and statutory requirements.
