Introduction to role:

We're excited to be looking for a new Programme Coordinator to join our team.


We're looking for a committed and highly organised person with excellent coordination and administration skills who enjoys a varied environment.


The role will coordinate and administer our busy programme of cycle maintenance, cycle loan schemes, maintenance courses, and fleet bikes for businesses.


The post holder will be office-based (including some optional working from home) and needs no prior experience working in the cycling industry but an interest in cycling, active travel or sustainable travel would be desirable.


The role will work closely with the Workshop Manager and General Manager to ensure high quality delivery of our programme of services.


The post holder must be tech-savvy and enjoy honing processes and systems as well as being a people person who enjoys delivering fantastic customer service for clients.

We are a small dynamic team, and we encourage ideas and strategic input from all members. The role includes clear scope to grow, and we look to nurture staff looking to develop in their roles.

Services include a traditional retail bike shop and repair workshop largely focusing on cargo bikes and utility cycling, cycle maintenance courses, off-site Dr Bikes and fleet servicing, pool bikes, cycle loan schemes, and finally, pedal-powered events services such as our Smoothie Bikes and Pedal Powered Cinema.

Located in the Bike Depot in north Cambridge, we share our offices with sister companies Outspoken Training and Zedify.

With a shared environment geared around cycling, we are a tight-knit, busy team working off and on-site and across both individual and business customers.


Established in 2012, Outspoken Cycles has steadily grown year on year and operates both locally and nationally across the programme of services.

Regular clients include various local authorities, universities, schools, travel consultancies and businesses.


Job purpose:


The purpose of the role is to:

  • Coordinate all enquiries and bookings for off-site cycle maintenance, including liaising with clients, briefing and booking mechanics, and invoicing
  • Coordinate and administer our various cycle loan schemes, including processing bookings and organising induction sessions, as well as producing reports and invoicing
  • Oversee the daytoday running and reporting on our appbased pool bike scheme
  • Administrator and process course bookings
  • Ensure our website and other digital platforms and materials are updated with content on our programme to keep it fresh and relevant
  • Work with the General Manager and Workshop Manager to develop and implement new processes and systems to support the programme

Main duties and responsibilities:


1.

Coordinating Off-Site Cycle Maintenance

  • Answer enquiries about offsite cycle maintenance, advising clients on our offering & pricing, booking in sessions, and working with the Workshop Manager to ensure mechanic provision for sessions.
  • Maintaining an uptodate Events workflow calendar to ensure the smooth running of our services.
  • Setting up Dr Bike booking pages via Eventbrite for employers to share with staff for booking individual slots
  • Collate and format bike maintenance servicing reports for clients, using data collected digitally in the field by mechanics
  • Invoice clients for offsite work completed (thorough training provided)
  • Collate feedback and information on delivery performance to ensure agreed customer expectations are met and report these regularly to the Workshop Manager and General Manager

2.

Cycle Loan Schemes

  • Oversee the daytoday running of our cycle loan schemes
  • Process bookings for the Cycle Loan Schemes from participants and answer any enquiries, ensuring participants receive excellent customer service through out
  • Book out bikes for the schemes and ensure adequate supply of bikes for the number of bookings by using our dedicated inventory and booking systems
  • Produce regular reports on usage and bookings to be shared with the General Manager and clients
  • Ensure Cycle Loan Scheme inductions (where participants collect/return bikes) are booked out in our Events workflow calendar with adequate resources such as vans also booked
  • Work with the Workshop Manager and General Manager to ensure any maintenance or booking issues are resolved within agreed contract time frames
  • Produce monthly invoices for each of the schemes
  • Join the General Manager for client contract meetings where required
