An Experienced NHS Surgery Full time (36 hours per week) Receptionist / Administrator required for Marsh Surgery.

System One experience required / appts/ surgery admin work / QOF work admin. We are a small practice.

The job you carry out is an important one, to assist the doctors in providing a high level of primary health care.

It is essential that the rules and procedures laid down by the practice be carefully followed in order to complement the role of the partners and practice nurses, by providing an efficient and effective administrative, clerical and secretarial network.


As much of your work will be in dealing directly with the patients of the practice, it is expected that you will conduct yourself with tact, sympathy, efficiency and remain pleasant at all times.

Particular attention is drawn to the confidential nature of this post.

All patients' diagnoses and treatment must b held in the STRICTEST CONFIDENCE at all times, and you must be particularly aware of the practice rules regarding information given to patients.


DUTIES:

  • To run the appointment system, booking in-patients, monitoring the patient flow, making emergency appointments.
  • To run the repeat prescription system; accepting requests for repeats, ensuring that the script is ready within 48 hours, and advising the patients that their prescription will be forwarded to their nominated pharmacy. To accept requests for acute prescriptions, preparing the script and advising the patient and chemist if necessary.
  • Open any incoming mail and frank outgoing mail.
  • Deal with patient's enquiries, and where necessary passing the enquiry to the doctors, practice nurse etc
  • Enter patients' details onto the computer as regards registration, removal, prescription requests, etc.
  • Ensure the waiting room and reception areas are kept tidy at all times.
  • Assist with the call and recall of patients for health promotion and screening purposes as may be required.
  • Inform the PCSE of any patients' change of address, via the computer.
  • Activate/deactivate alarm system as required, and checks that all doors and windows are closed/locked before leaving the premises.
  • Operate telephones as required, and ensure that all messages are passed to the appropriate person.
  • You will be expected to participate in practice meetings unless you are unable to do so because of absence.
  • You must bring to the attention of the Reception Manager any problem being experienced in a particular field; any suggestions you could make as regards the efficiency should also be passed on.
  • You will be expected to participate in any continued in-house training that may be provided and attend any external training courses as may be considered appropriate.
  • You are required to work as part of the practice team, and good working relations are expected from all members of staff.
  • In the event of complaints from a patient, inform the patient of the channels for making a complaint.
  • Refrain from making any comments regarding patients ensuring Confidentiality always.
  • To undertake any other duties, appropriate to the grade as may be required.
37.5 hours per week
