Role

We are seeking an experienced assistant with first class organisational skills. The position will suit someone who is proactive and has a natural ability to remain calm under pressure. Workload will be time dependent with bursts of activity.

Excellent communication skills are essential for the role as you will be required to deal with both internal and external clients and service providers.

Key responsibilities

To facilitate the communication flow and smooth administration through the following:

  • Responsible for initiating, arranging and securing company meetings for Portfolio Managers/Portfolio Specialists and notifying the relevant attendees of those arrangements.
  • Responsible for diary management and meeting coordination including catering / room arrangements.
  • Organising complex global travel itineraries including ticket, hotel and ground transport arrangements
  • Processing expense claims, ensuring that these comply with Company policy.
  • Arranging conference rooms, AV equipment, dial in numbers and videoconference facilities as required
  • Timely delivery of weekly portfolio meeting reports and other regular meeting information.
  • General admin tasks including phone coverage, distribution of mail and messages
  • Filing, maintenance of attendance records, call reports
  • Updating excel spreadsheet and Outlook with internal and external contacts
  • Filing research reports/client call reports for the International Equity Team utilising Mackey
  • Maintaining a log of companies, the team has seen each month for client presentations
  • Chasing portfolio managers to ensure that one page company notes are updated and filed in a timely and agreed manner
  • Updating/maintaining the Master database for the International Equity Team
  • Keeping track of movements within the portfolios and reasons for the changes
  • Supporting the production of client reports, pitch books and materials providing the opportunity for broader understanding of the business and opportunity for personal development
  • Covering for assistants to ensure the efficient operation of the team

QUALIFICATIONS
Skills and Experience Required

  • Good team player
  • Flexibility to align with the business needs of the team as they evolve
  • Strong interpersonal skills and ability to communicate effectively, both verbally and in writing
  • Excellent organisational and time management skills
  • Advanced knowledge of the full Microsoft Office suite including PowerPoint, Excel and Word, and a natural interest and aptitude for learning new systems
  • Methodical, logical approach with good attention to detail
  • Ability to multitask, to perform effectively and efficiently under pressure and to adapt to change
  • Forward thinker
Skills and Experience preferred

  • Experience in banking, investment management, equities, financial services environment
  • Sell side research assistant or buy side assistant experience
  • University degree preferred
