FINANCE OFFICER
Job Title Trust Finance Officer School/Trust Central Team

Pay Band SC4 Point 7-11 Responsible To CFO, CEO.

Salary FTE £22,369 -£24,054 Responsible For

Main Purpose of the Post


The post holder will:

  • Provide support services to ensure the efficient operation of the academy trust
  • Liaise effectively with central team and school staff to enable smooth running of financial administration
  • Maintain financial information management systems (PS Financials)
  • Analyse and evaluate financial data and information to produce reports as required.
Specific Responsibilities and Tasks


Purchase Ledger

  • Process purchase orders, monitoring progress and dealing with queries
  • Proactively consider best value when placing orders by researching different products, suppliers and purchasing incentives.
  • Maintain supplier data within finance system
  • Record good received in finance system
  • Check invoices against order and delivery confirmation for accuracy
  • Check utility invoices are correct and agree to meter readings
  • Ensure invoices are authorised and process invoices for payment
  • Reconcile supplier statements and work to resolve invoice queries
  • Set up and process payments to suppliers via online banking

Bank, Petty Cash and Staff Expenses

  • Check bank statements for accuracy and query any discrepancy in a timely manner
  • Ensure bank accounts within the finance system are fully reconciled against statements weekly
  • Maintain annual cash flow report for all bank accounts
  • Record petty cash transaction in the finance system
  • Reconcile petty cash amounts to the finance system frequently
  • Maintain trust charge cards, ensuring all purchases are in line with charge card user agreement
  • Match card transaction to purchase order and delivery confirmation
  • Process staff expense claims for payment in line with trust policy

Budget and Audit

  • Provide financial information, advice and guidance to budget holders as appropriate
  • Assist with the planning, monitoring and evaluation of budgets
  • Check orders are within agreed budget and notify budget holder if there is an issue
  • Ensure financial documents are processed and coded correctly in line with the current budget
  • Assist with the internal scrutiny visits, ensuring requested information is provided in a timely manner
  • Assist with the external annual audit, ensuring requested information is provided in a timely manner

Central Administration

  • Complete VAT reconciliation and process VAT return quarterly
  • Contribute to the planning, development and organisation of support service systems, procedures and policies
  • Assist with marketing and promotion of the trust and schools

PERSON SPECIFICATION

Professional Professional finance or finance

Qualifications

  • ACCA, CIMA or experience
  • Level 2 in English and Maths documents Desirable Score
  • Driving license and own transport is essential with a willingness to travel

Experience Skills, Abilities & Competencies

  • Minimum of one year post qualification experience OR 3 years experience working in a relevant finance position
  • Experience and understanding of purchase ledger operations
  • Experience of processing VAT returns
  • High level of IT competence, including Excel.
  • Minimum of 1 years' experience of using financial software packages
  • High level of accuracy when calculating and processing financial information
  • Evidence of proactive and value for money approach to procurement of services and cost saving initiatives
  • Effective management of suppliers, dealing with queries quickly to achieve a positive outcome
