Job Description:


Job purpose:


Your role will be to provide administrative support to the organisation of onsite and external funding events, and to other colleagues within the Operations team, as well as providing some cover to the Receptionist.

This role involves a mixture of working in the Twickenham office (at least 4 days per month) and working from home.


As a member of the Operations Team (a team that provides a central support function), you will interact with a broad range of people at all levels of seniority, including internal colleagues, external stakeholders, funding committee members and the research community.


This is an ideal position for an administrator interested in seeing how research to improve patient health and care is funded.


Key Responsibilities:


1.

Organising virtual and in-person meetings, including:


  • Identifying suitable dates and venues
  • Organising Zoom, Google Meet or Microsoft Teams virtual meeting links
  • Booking rooms, AV equipment and refreshments for inperson meetings
  • Communicating with attendees including confirming attendance
  • Preparing and dispatching meetingrelated documentation to attendees
  • Preparing meeting materials eg. name plates, badges, signage etc
  • Occasional travel to support offsite meetings
  • Ensuring onsite meeting rooms are appropriately set up
  • Greeting and directing attendees to onsite meetings
  • Organising refreshments
  • Taking notes

2. Support for Reception (shared amongst the Administration team), including

  • Answering telephone calls and forwarding them on to the appropriate person or team
  • Meeting and greeting visitors to the building and ensuring they comply with health, safety, security and all company requirements
  • Helping visitors with their onward travel, e.g. giving directions and booking taxis
  • Managing post arriving into the building and preparing post for collection
  • Supporting meetings

Other administrative duties, including:


  • Preparing documents, spreadsheets, mail merges
  • Organising filing structures
  • Communicating with key internal and external stakeholders

Qualifications:

  • Required Knowledge, Experience and Technical Skills:
  • At least 12 months' experience of working in an administrative role (essential)
  • A minimum of 5 GCSEs (or equivalent) at grade C or above, including maths and English (essential)
  • An excellent command of written and spoken English (essential)
