GRADE:
The post is term time only, working 37 hours per week on H4.


The actual salary is £19, £20, The hours of working will be 7:30am - 3:30pm (3:00pm on a Friday), 5 days a week.


PURPOSE OF YOUR JOB:
Under the direction of the Principal's PA and senior staff, to meet the administrative and reception needs of the school, including comprehensive event planning of some key school events

MAIN TASKS AND RESPONSIBILITIES:

Reception - General Admin

  • Undertake the school's generic administration support to all departments
  • Provide a professional and efficient reception service as the first point of contact for the school
  • Oversee the school's electronic communication with home
  • Provide hospitality services for visitors/school meetings, where necessary
  • Provide routine clerical/administrative support including:
  • undertaking word processing
- filing correspondence electronically
- photocopying and associated administration
- receive and distribute incoming mail/record and frank/post outgoing mail
- maintain/update manual/computerised record/management information systems and completion of routine returns/production of basic statistical data
- ordering supplies and equipment/maintain stationery stock

  • General queries from outside and inside school about school operations
  • Register students using electronic registration system from 8.25am
  • Produce the school weekly bulletin and parent bulletin
  • Send out indebt messages to parents for the school's catering provider
  • Keep exam certificates and results when students have requested them from Exams Office and obtain signatures when giving them out
  • Manage car park barrier
  • Make photo ID cards for all new staff, Year 12 students and Year 11 exam desks
  • Assist Principal's PA with paperwork relating to visitors/speakers, ensuring correct procedures are followed and permissions in place
  • Fire Marshall for side gate, and ensure that registers and signin books to Muster Stations
  • Maintain diary for school minibus keys
  • Manage school telephone system and extension list
  • Book courses for all staff
  • Provide support to other admin teams during busy times
  • To contribute to the provision of an effective environment for learning
  • To actively support the promotion of positive relationships with parents and outside agencies
  • To attend skill training and participate in personal/performance development as required
  • To take care of your own and other people's health and safety
  • To be aware of the confidential nature of issues
  • To work within school policies and procedures

School Events/Additional Duties

  • Undertake planning and organisation of Secondary Transfer Evening, working with the Vice Principal
  • Organise parents evenings, attending if required
  • Ensure the smooth running of other school events, attending evening events as needed, if required
  • Management of Primary Languages lessons arranging lessons, liaising with parents, registers, taking payment
  • Form part of the First Aid team. Full training will be provided
KNOWLEDGE, EXPERIENCE AND TRAINING

  • Microsoft Office Applications (Word, Excel, Powerpoint, Teams)
  • An understanding of using school information systems would be desirable
  • Experience of working in busy environments
  • Organisation and management skills
  • Ability to show both sensitivity but also rigour in working with a wide variety of stakeholders
  • Calm under pressure with strong interpersonal skills
  • Proactive in the change process
  • Knowledge of child protection procedures
  • Evidence through DBS check and recruitment process of suitability for working with children
  • Willingness to undertake ongoing CPD relevant to the position
  • Ensure full confidentiality and respect for sensitive student, staff and stakeholder information, and compliance with all data protection regulations, reporting any concerns to your Line Manager or the Principal
