The Buyers Administrator will be responsible for:
APPROVAL & PP SAMPLES
- Weekly tracking of approval samples by range to ensure they will arrive on time for Final Sign Off
- Provide weekly update of approval sample status by range to your Assistant Buyer/ Buyer
- Checking approval samples as they arrive:
- Unpacking DHL deliveries and sorting samples
- Suitability for the range correct colour, detail, etc
- Identifying potential QC issues
- Discussion with your Assistant Buyer / Buyer to determine action to take to fix product or issue prior to Final Sign Off
- Preparing approval samples for Second Look & Final Sign Off:
- Correct Carding
- White sticker with supplier, cost, margin
- Merchandise range on the correct fixture for Final Sign Off by EOD on the Monday prior to the Final Sign Off
- Sending DHL packages on the approved days
- Supplier Communication
- Approval of approval & PP samples
- Communication to Production
- Of final approval to ensure they are clear on what to approve for packing scans
RANGE PLANNERS
- Build a Range Planner for each range after First Sign Off
- Maintain Range Planners throughout the range building process to ensure all information is accurate for Final Sign Off
- Completed Range Planner to your Buyer by 8.30am on the Tuesday prior Final Sign Off
- Update Range Planner post Final Sign Off with agreed retail prices, changes and quantities
- Handing over 100% complete & accurate Range Planner to your Senior Buyer by 10am on the day following Final Sign Off
SAMPLE PREP/ BOARDS FOR MEETINGS
- Maintenance of range boards to include the latest image/spec sheet or sample, supplier, cost (updated as the Buyer negotiates) ensure shared range boards are managed collaboratively in groups within each range
- TO BE UP TO DATE AT ALL TIMES
- Put images of all recolours, reworks, match backs onto the relevant range boards by EOD Tuesday each week
ANALYSIS
- Run 16 week report
NEGOTIATION
- Chase first cost from suppliers for all samples
- Record cost price negotiation in the Range Planner
TREND
- Put images of all new trend items, muse & influencer items onto the relevant range boards by EOD Tuesday each week
Skills, knowledge and personal qualities required:
- Strong communication skills at all levels
- Positive, results driven attitude
- Strong computer skills, including Word, Excel & Outlook and to develop skills on Futura
- Stamina
- Openness/willingness to change
- Desire to understand strategic direction of the business
- The ability to anticipate what may be required
- Ability to work autonomously and exercise discretion
