Job Description:


Areas of Responsibility & Accountability

  • Manages tradeshow logistics; works with decorator to set floor plans to ensure proper exhibitor & décor placement, traffic flow, adequate areas for registration and exhibitor services, and produce logistics in compliance with safety/facility requirements; manages all labor requirements.
  • Manages all transportation requirements for convention team, appropriate vendors, and onsite attendee movement; oversees all freight shipments, onsite distribution, and shipping requirements.

- and onsite facility interactions; including but not limited to convention center, service managers, communication and service providers.

  • Manages exhibitor participation in conventions; oversees creation of operational communications with exhibitors including service kits, security forms, badge forms, freight scheduling, and other activities.
  • Manages all pre
conference logistics such as but not limited to show information documents, temporary space arrangements, signage, and ordering of convention materials. Manages production of attendee badges.

  • Manage high level keynote speaker support, including onsite logistics, coordination of audiovisual needs, rehearsal schedules, set design, and attendee seating plan.
  • Manage audio visual needs and related budgets for all onsite event requirements, including keynote room, breakout session rooms, show management offices, and any special receptions. Budgets range from $10k $2M.
  • Communicates needs and works with show management for catering needs; hotel arrangements for all scheduled activities and events; and travel arrangements for all convention and temporary staff.
  • Manage high level keynote speaker support, including onsite logistics, coordination of audiovisual needs, rehearsal schedules, set design, and attendee seating plan.
  • Manage speakers, content information, and program budgets for events with 10 to 600 speakers and budgets ranging from $3k to $1M. Including all incoming and outgoing speaker correspondence (contracts, payments, travel details, event updates, audio visual requests and registration inquiries), production of onsite printed session materials and manage the tabulation of session evaluations post event to determine attendee satisfaction and speaker's performance.
  • On site, manages logístical needs; parking, audiovisual needs, reviews and complies with all facilities contracts, security, and medical personnel. Provides an open forum to air any concerns.
  • Hires, manages, schedules, and trains temporary staff.
  • Assists in the development of annual budgets, monthly forecasts, and is responsible for implementation of each.

  • Proven prior experience in working in crossfunctional teams.
  • Managing stakeholders internally and externally
  • Strong collaboration and communication skills written, verbal, presentation
  • Proven expertise in managing project activity, ability to prioritize and manage time efficiently.
  • Demonstrable experience of leading and managing a team of operational colleagues
  • Support colleagues and team in a rapidly changing environment.
