The Children's Community Nursing Service for Lewisham & Greenwich NHS Trust are looking for an enthusiastic and organised individual to join our administration team for a fixed term contract due to maternity leave.


Job Summary:

Accountable to the Children's Community Nursing Matron.


To assist in providing high quality administrative support to CYP Community Nursing Service, whilst taking responsibility for specific areas of work.

These will include a range of administrative and clerical based tasks, such as processing referrals, booking appointments, discharging files and inputting data electronically to provide accurate end of month statistics

To be one of the first point of contact for any enquiries to the team either in person or by telephone for parents, carers and professionals, providing information in relation to the service tactfully and sympathetically at all times


To demonstrate an organised approach to work prioritising your own workload while working effectively and keeping a focussed attitude even when working under pressure.

To ensure clinical documentation is completed according to trust policies and this will include management of patient information - referrals, creating files, discharging files, filing, updating databases / spreadsheets, accurately sending out appointments and clinical information, comprehensive use of RIO and Office 365 as well as Microsoft Teams.


To help provide comprehensive administrative support to the Therapies Team, carrying out tasks such as photocopying, laminating, creating documents and being responsible for collecting and distributing mail.

To participate in departmental audit and research

To answer the telephone responding to enquiries about the service and clients paying due regard for confidentiality: Dealing with any queries immediately, taking accurate messages and passing to appropriate staff for their attention if necessary, whilst ensuring that messages to the team are dealt with courteously and in a timely manner

To help develop new administrative systems and processes in line with service developments and in conjunction with the Children's Community Nursing Matron

To demonstrate an organised approach to work prioritising your own workload while working effectively and keeping a focused attitude even when working under pressure

Prepare Excel workbook and spreadsheets for information, reference purposes, data analysis and clinical audit.

To identify and be responsible for your own personal and professional Development Plan developed within an appraisal framework.


Work Force:

To supervise new administrative staff when required ensuring correct procedures and departmental protocols are followed at all times

To undertake administrative tasks associated with recruitment and induction of new staff to the service.

To support in arranging meetings and taking minutes at team meeting

Ability to work flexibly in order to respond effectively to changes in priorities and plans whilst managing and changing workload to deal with conflicting priorities


Preparing and using materials, resources and programmes for children and families, eg, to download photos from a camera and insert into PowerPoint.

To laminate and/or bind documents when necessary and use internet for research purposes i.e when looking for equipment.

Financial

To process orders for stationery and equipment as required by the department.


Partnerships:

Meet and greet clients and/or other professionals/staff when required.


General:

To be able to set up rooms in preparation for group activity/clinics whilst following trust guidelines on manual handling

To gather from schools and families standardised preliminary clinical information about the specific areas of clinical need.

To create resources including using digital images and software as required by the department for treatment sessions and programmes.


To carry out any duties in line with the banding of this post and in line with this job description as may reasonably be requested.

To undertake mandatory training such as Safeguarding and attend regular supervision.
