Corporate Customer Services Assistant
Grade EVH Grade 4, points - 12

Responsible to Finance & Corporate Services Manager, Ferguslie Park HA

Reporting to Corporate Governance Coordinator

Objective To be a primary point of contact the Association, provide efficient customer service internally & externally.

Communication/ All FPHA and Tannahill Centre Board/Committee members collaboration with All Ferguslie Park HA and Tannahill Centre Employees customers

3. Finance & Corporate Services Team


The Administration Assistant is a key member of the Finance & Corporate Team, which is led by the Finance & Corporate Services Manager.

This team delivers reception and all back
- room services - banking, treasury, payments, risk management, health & safety, payroll, ICT, governance support to the CEO and governing body members, administrative support to the

Management Team including communications, HR and training support.

4. Main Duties and Responsibilities
Reception duties Customer Engagement

Customer Care Social media


Reception
Provide a welcoming, effective reception and telephone answering service to all service users and visitors
Social Media

Assist in preparation of meeting rooms, ensuring tea and coffee is provided for visitors as required

Transfer callers to the appropriate staff

Take messages for staff and relay these quickly
Carry out clerical duties including the incoming and outgoing mail, filing, collating meeting papers and newsletters

Keep signing in sheets for staff and visitors up to date and stored safely

Ensure reception area, noticeboards and interview rooms are clean and tidy
Regularly review the appropriateness of public area leaflets and documentation
Maintain office and staff kitchen supplies such as milk, tea, coffee, sugar


Under the supervision of the Corporate Governance Co-ordinator:

Governance
Help to prepare papers for Board/Committee Meetings and Committee Meetings including confidential papers

Help to prepare and issue papers, invitations, attendance records and minutes for the Annual General Meeting or any Special General Meeting of FPHA

Circulate Minutes of Board and Committee meetings for confirmation by the Chairs within timescale

Assist with the administration and delivery of the Annual General Meeting, conferences, and other relevant internal events.


Corporate & Finance

Health & Safety
- under the supervision of the Corporate Governance Co-Ordinator
Assist with Health & Safety procedures
Process invoices for finance

Order cleaning supplies, ensuring COSHH compliant materials, for use by the contract cleaners

Maintain stocks of stationery, branded paper & stationery and ensure photocopiers/printers are filled regularly

Human Resources
Liaise with training agencies, consultants and other agencies to book agreed training for Staff


Communications
Social Media - using our social media platforms to publish and interact with our audiences, managing social media communications

Propose new ideas and concepts for social media content

Increase social media and digital engagement
Assist with the implementation and management of new digital software solutions
Assist with development and roll out of MS teams apps

Create dynamic written, graphic and video content
Monitor website text, pictures and documentation regularly for accuracy
Ensure FPHA has a stock of marketing / promotional materials which can be used at events.


General
Carry out all duties conscientiously in accordance with our policy and procedures

Contribute to achieving our aims, targets and standards
Assist with monitoring progress against targets, and collate performance information

Contribute to the development and use of ICT systems
Contribute to the review and implementation of policy and procedures
Attend training, both internal and external as required
