Administrator (Full-time)
We're looking to hire a confident and efficient person to provide valuable administrative support in the areas of human resources, legal and finance.
Reporting to our Head of People, the role will involve:
- Creation of internal and external business presentations using MS PowerPoint.
- Attending weekly team planning meetings.
- Arranging interviews with prospective employees.
- Coordinate arrangements for internal meetings; record and circulate actions.
- Assist with the arrangements for external meetings both offsite and at the office, welcoming guests and providing refreshments.
- Book travel and accommodation.
- Diary management.
HR Support:
- Coordinate the onboarding of new starters (including sending offer letters and forms, contracts, reference and right to work checks, IT requirements and draft induction schedules).
- Coordinate DBS checks for all new starters.
- Ensure employee records are kept up to date including uploading documents, training records and checking that holiday and sickness is being recorded correctly.
- File relevant documentation relating to contractors.
Legal:
- Collation and filing of shareholder agreements.
- Collation and filing of patent information.
Finance:
- Collate monthly purchase invoices for payment.
- File receipts and invoices.
- Receipt and filing expense claim forms.
- Collation of timesheet hours to prepare for payroll.
- Liaise with the external finance team, providing information and assisting with queries.
General:
- Support the wider team where needed.
Experience, Skills and Knowledge
- At least two years' experience of undertaking a wide range of administrative duties.
- Excellent listening and communication skills including a high standard of written and verbal English.
- Ability to build effective professional relationships and adapt communication style to different stakeholders (e.g. employees, stakeholders, customers and suppliers).
- Excellent time management and organisational skills with the ability to use initiative to prioritise and manage conflicting demands.
- Act with diplomacy and discretion when dealing with matters of a confidential nature.
- A selfstarter with a practical and proactive approach.
- A good working knowledge of GDPR.
Qualifications
- A good standard of general education.
- Degree or Level 4 (or above) in administration, business or management is highly desirable.
Remuneration:
£22-28k per annum (dependent on level of experience).
Contributory Pension scheme.
40 hours per week: Monday to Friday: 8.30am - 5.00pm.
