The purpose of this post is to provide a comprehensive administrative and secretarial service to the Nursing, Governance and Psychology Department.

This role will involve the use of Microsoft Office Packages to provide a high-quality administrative service to the Nursing, Governance and Psychology Department.

The role will also involve data collection and monitoring, extracting data from various systems and reporting as required, providing support for high level meeting including providing detailed minutes, organisation of meetings and preparation of agenda and papers for meetings.

The postholder will have excellent organisational skills and time management skills with the ability to prioritise a busy workload in a fast-paced office environment

  • Provide an administrative and secretarial service to the wider Nursing, Governance and Psychology Department this include answering phones and dealing with queries or escalating, greeting and directing visitors, opening and sorting post, booking travel and accommodation, photocopying, filing, organising and minuting meetings, stationery stock control and ordering, ESR inputting, etc.
  • To support the Administration Team in the reporting of inhouse estates and facilities requirements. The postholder will be expected to as a secretary for meetings, organising diaries and distributing relevant information. This will include coordination of room bookings, diary management, preparation of agenda and papers, minute taking and chasing of outstanding actions
  • To work using initiative and be a team player. To support other members of the team with problem solving of daytoday problems.
  • To cover periods of absence for the Nursing, Governance and Psychology Department administrators.
  • To initiate, record and retrieve records through databases.
  • To respond to routine requests for information from the Senior Managers and other members of the Trust.
  • Organise training courses, events and workshops by booking rooms and attendees, liaising with services, preparing and submitting paperwork, maintaining registers, etc.
