JOB DESCRIPTION

Job Title:
Finance and Contracts Administrator


Location:
Wyre Forest House/ Kidderminster Town Hall. Or any other KTC location


Contract:
Fixed term 6-months


Purpose of job:

Provide financial administrative support and contracts monitoring to all departments of the Council.

  • Maintain detailed records for all financial transactions with regard to the Town Hall Refurbishment Project to ensure that any ongoing or final audit can be satisfied promptly
  • To process Town Council payments on its financial software package (currently Agresso).
  • To ensure that all payments are verified by a valid purchase order.
  • To ensure all verified payments are made within 28 days.
  • To create invoices for Town Council services in conjunction with service managers.
  • To monitor outstanding receipts, chase for late payment.
  • To monitor budget levels, to ensure that agreed budgets are not overspent.
  • To notify line management when budget levels are under pressure / about to be breached.
  • To maintain a list of contracts with suppliers for regular services.
  • Notify service managers in a timely fashion of contracts that are due to expire/ require renewing.
  • Support service managers in negotiating and entering into new contracts / contract renewals.
  • Provide support to all staff members on the operation of its financial software package (currently Agresso).
  • Attend occasional Council / Committee meetings (usually held in the evenings)
  • Provide financial management information to the CEO and the Levelling Up Fund Board (in relation to the Town Hall project).
  • Support the Town Hall Project Manager in complying with financial arrangements as per the MOU.
  • At all times seek to obtain best value for the Town Council.
  • Comply with Town Council Financial Regulations and Standing Orders o Comply with the General Data Protection Regulation at all times


The post holder may be reasonably required to perform duties other than those given in the job description for the post.

Part-time

Part-time hours: 15 per week


Salary:
£11.01-£12.06 per hour
