Your Role:


CEA CAPA seeks applicants for an opportunity to work within the rewarding field of US study abroad as a Housing Coordinator.

This role supports students from colleges and universities across the United States, ensuring they have the best possible experience while studying for one term of their degree at our premier study center located in South Kensington.


This full-time, permanent position has primary responsibility for student housing in London and Dublin, demanding a highly skilled administrator with excellent project management skills and a strong sense of empathy.


This role is especially exciting for someone looking for diverse responsibilities, a global role and exposure to multiple areas within an international education setting.

This role provides you with the opportunity to build impactful business solutions, whilst also providing the reward of seeing students grow and succeed during their time abroad.

This role is based in our premium study center in South Kensington, London.

London will be the main focus for the role, although you will have administrative responsibility for housing in Dublin too, involving some travel when necessary.


What You'll Do:


  • Treat housing as a core learning experience for students
  • Manage stakeholder relationships with housing providers in the UK and Ireland, ensuring a high quality of service
  • Create and manage housing bookings and allocations in London and Dublin
  • Identify operational efficiencies, relet apartments and/or rooms during vacant periods to maximize occupancy rates
  • Communicate regularly with the Senior Program Services Coordinator (London) and Program Director (Dublin) to update on current and future housing status
  • Build and maintain London and Dublin suppliers/contacts database, research and scope new accommodation services, build relationships with new and existing suppliers, and negotiate competitive pricing and high quality
  • Liaising with Accounts Officers on credit control and reconciliation of invoices
  • Collect and file all required health & safety documentation for every property
  • Participate in teamwork around assigning students to flats according to preferences and other criteria and communicating those assignments to students
  • Take part as needed in predeparture meetings hosted by CEA CAPA and the London Centre to address housing questions
  • Coordinate housing pre arrival checks, student arrivals and orientations in London
  • Sourcing additional accommodation and negotiating service level agreements across the UK and Ireland
  • Support the budgetsetting and yearend processes and longerterm strategic planning for accommodation in the UK and Ireland
  • Provide firstline student support in London for housing including resolving issues and conflicts, escalating or referring students to resources as necessary
  • Participate as needed in predeparture meetings hosted by CEA CAPA in London and Dublin
  • Annually review processes and procedures, implementing improvements where necessary
  • Support London Assistant Director in mass emergency management
  • Participate in the rota of holding the London emergency phone
  • Participate in weekly case management meetings in London and Dublin

Starting Salary:
£30,000

  • Process driven, with strong administrative and project management skills
  • Passion for creative problem solving
  • Experience in negotiating highvalue contracts and service level agreements
  • Good levels of numeracy and literacy
  • Experience with managing data, preparing reports and with supporting departmental administration
  • Selfstarter, able to work independently and manage multiple priorities
  • Demonstrated intercultural sensitivity and global awareness
  • Proven ability to work well as a member of a closeknit team
  • Strong knowledge of the city of London (essential) and Dublin (preferred)
  • Strong digital technology skills including high proficiency in Microsoft Office 365 software and a familiarity with databases
  • Experience working with housing providers and providing support to those requiring housing
  • Qualification in a health and safety related are
