Description

Arches provides support to individuals aged 16 and above with mental health needs, complex needs and/or learning difficulties in a person centered way to build independent living skills in their own homes and in the community.

An integral part of this service is coordinating and scheduling the care calls to meet individuals needs.


Purpose of role:
Responsible for coordinating the work schedule of Support Workers using Care Manager software.

This is to be completed as efficiently and effectively as possible in accordance with current care standards, relevant legislation and Arches policies and procedures.


Main Duties and responsibilities:


  • To develop and maintain positive working relationships with Staff across the company to gain their commitment and reliability to work
  • To liaise with all Support Workers to ascertain availability and flexibility to work
  • To manage staff rota's to a high standard and produce a monthly schedule to staff in line with Arches' guidelines, contractual obligations and per service contract
  • To ensure service user needs are met through provision of the appropriate service as per individual care and support plans ensuring all support hours are covered appropriately at all times
  • To achieve high levels of continuity for both Service Users and Staff
  • To follow company processes in line with sickness absences and annual leave
  • In cases where calls require covering at short notice i.e. sickness or short notice requests, to ensure that all care calls are appropriately covered prior to the scheduled time. This may require you working shift yourself if necessary.
  • Responsible for planning and developing support hours/packages for service users new to our service
  • To ensure scheduling of team meetings, inductions and training as required
  • Ensure all amendments or queries are dealt with promptly, efficiently and logged on Care management programme, including reason for staff shift cancellation, sickness etc.
  • To ensure all Rota's are finalised and completed to given deadline and provided to staff in a timely manner
  • To ensure that systems are accurate, up to date and completed to given deadline for payroll and invoice data to be processed in a timely manner
  • Communicate and record any changes or problems arising with Support Workers and service users to the appropriate line manager
  • Assist in the management of absence monitoring procedures through completing return to work interviews alongside line manager and recording absences to the appropriate persons
  • To work flexibly, be reliable, dependable and trustworthy
  • Carry out emergency 24 hour on call duties when required which includes weekends, weekday nights and bank holidays.
  • To represent Arches as a provider of highquality care and support
  • To provide regular feedback to line managers and HR Supervisor regarding staff flexibility, reliability, and availability to work. This includes notifying of regular issues/occurrences.
  • Commit to continuing professional development, maintain and attain qualifications and seek up to date knowledge of relevant legislation and organizational policies to meet local authority and Arches requirements.
  • Attend quarterly supervisions as required
  • To work flexibly (including agile working)
  • To ensure the office is kept clean and tidy at all times and all confidential material is stored in line with data protection
  • Ensure to adhere to the Company's policies and procedures to ensure staff have the appropriate car insurance in place if they assist service users out in their vehicle. This includes ensuring that up to date car insurance documents are stored in the staff personal files and database.
  • To assist, when required, in the recruitment of Support Workers as delegated by the line manager
  • Carry out any other duties as may be considered reasonable in line with your skillset as required by your line manager
