I am looking for am Administrator to join a fast paced Health & Social Charity based in Stockton.


Responsibilities:


  • Ensure that telephone calls and visits from service users, outside agencies are dealt with promptly and courteously, transferring calls to appropriate personnel when necessary.
  • To undertake reception duties as needed, ensuring highest standards of customer service, safety and comfort are adhered to
  • To ensure effective processing of correspondence/data entry as required.
  • To effectively manage referral procedure in service, ensuring the all KPI's are adhered to including waiting times and processing of information
  • To contribute to effectively managing the premises, including relevant health and safety checks, supporting maintenance visits, room booking and risk management.
  • To support the management of meetings including sending invites, managing agenda, taking minutes and distributing minutes and actions to delegates
  • To support colleagues in the management and set up of events and campaigns within the service.
  • To support the development of marketing material and communication bulletins for service users and other stakeholders.
  • To oversee the services online filing system, ensuing folders are kept up to date and archiving takes place accordingly.
  • To ensure sufficient stock of essential office items and maintained through agree processes and suppliers.
  • To collate, monitor and report data/information & statistics as required.
  • To maintain and assist with the setting up of a general filing system within the project.
  • To maintain and balance local petty cash systems under the direction of the senior administrator and photocopying
  • To ensure that admin, recordkeeping and communication within the project are maintained.
  • To undertake prescription administration duties including appropriate generation, storage, recording and distribution of prescriptions in line with policy and local procedures.

Person Specification:


  • Knowledge of general office procedures.
  • IT literacy including proficiency in word processing and data entry.
  • Good interpersonal skills and a willingness to work flexibly as part of a team.
  • The ability to respond to appropriate requests for assistance, maintaining confidentiality whenever necessary.
  • Good organisational skills
  • Confident and effective communication skills, both verbally and in writing.
  • A mature, empathetic and nonjudgmental attitude towards service users.
  • The ability to respond flexibly to the demands of the post.
  • Resilience and confident managing difficult situations

Hours of Work:


  • Monday to Friday: 9am 5pm (37.5 hours)

£21,888.00 per year
