We are expanding our team here at Captain French Surgery and have a new and exciting opportunity as Admin/ Receptionist for (up to full time hours/full time hours).


Admin/Reception


This role will include a mixture of admin duties including speaking to patients and other service users on the telephone to facilitate their needs and be able to book them into or put in contact with the right clinician.

Reception duties will include speaking to patients and visitors in person.

This role requires you to have the ability to work in a busy environment, think on your feet and adapt to situations as they occur.

You must be comfortable working on your own and as part as a team and have a can do attitude.

Customer Service experience is welcome but not essential as training will be provided.

You must be flexible as there is a requirement to cover an early morning shift and/or a late shift as part of your own work pattern and also some additional cover for colleague holidays/sickness absence.

Hours of work will be up to 5 days Monday to Friday.

TITLE:

Reception/Admin

Practice Operations Manager


JOB PURPOSE:

To participate in the smooth running of the practice, provide the first point of contact between patients and the clinical staff in such a way as to ensure:

  • The delivery of an efficient, friendly accessible and confidential service to patients and visitors
  • The provision of an efficient and comprehensive support system for clinical sessions
  • To engage in effective and efficient workflow of information to clinical and nonclinical staff

Special requirements of the post:

The special requirements of the post regarding skills, knowledge and experience are:

  • Well-developed communication and interpersonal skills
  • Ability to deal with members of the public in a courteous and understanding manner
  • Ability to cope under pressure
  • Ability to use own judgement, resourcefulness and common sense in response to patients' enquiries and requests
  • Effective time management
  • Ability to work as part of a team and be flexible in an environment where the workload is constantly changing and varied
  • Flexibility with regard to rotas and working patterns
  • Effective keyboard skills and good spelling
  • An understanding, acceptance and adherence to the need for strict confidentiality

General Duties Include

  • Provide a professional first line response to all callers, whether in person or by telephone, dealing with their enquiries, or referring them on to the appropriate person
  • Receiving telephone and personal requests and enquiries from patients and ensuring sufficient information collected for triage purposes, making appointments/dealing with request as required
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover ensuring procedures are completed correctly
  • Ensure that the repeat prescription procedure is followed
  • Keeping up to date with changes in procedures and information affecting the post
  • Ensuring that mail and specimens are ready for collection by the courier.
  • Attend to any ad hoc IT issues, for example replacement of toners, printer issues etc Ensure public areas are kept clean and tidy
  • Attending team meetings and practice learning sessions
  • Open and close of premises procedures

  • In the course of seeking treatment, patients entrust with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately
  • In the performance of the duties outlined in the Job Description, the postholder may have access to confidential information relating to patients and their carer, Practice staff and other healthcare workers. They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential
  • Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

Health & Safety
The post
- holder will assist in promoting and maintaining their own and others' health, safety and security as defined in the Practice Health & Safety Policy, to include:

  • Using personal security systems within the workplace according to Practice guidelines
  • Identify the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
