School/Service Information

Registry Services at St Mary's is responsible for the management of the student lifecycle from enrolment to graduation, providing support and guidance to all students at staff at every key point in the student journey. The team also provide Student Records support, manage our UKVI compliance and oversees student conduct and casework.**
The Student Administration Officer role will undertake a variety of tasks associated with the management of all aspects of Student Administration including assessments, case work, student records and managing student queries. Ideally the role holder should have
technical expertise in managing Student and Registry processes using SITS.

The role involves implementing all associated business processes to ensure they are responsive and proactive, and driving a culture of service management and improvement that centres our students at the heart of the service.**
Job Purpose
**The purpose of the role is to support the Deputy Head of Registry in the implementation of the university's student governance and assessment procedures and all associated tasks using SITS and e-vision as a key tool.


Main Duties and Responsibilities:

Assist on student assessment related tasks such building and circulating the exam timetable, running all aspects of the exam boards and communicating outcomes to students in a timely and effective manner

Manage all aspects of student data in SITs, relating to assessing such as progression and award tasks, mark entry, generating new records, closing down old records etc
:

Maintain an in-depth understanding of relevant University policies and regulations and how they effective assessment within the university
:

Identify business process improvements relating to all aspects of academic policies and regulations, including exams and assessment, conduct and complaints and other student related policies
:

Lead on cross-departmental initiatives as appropriate/identified by the Head of Registry Services:

Lead on the production of award documentation and student transcripts, liaising with Student Records staff
:

Responsible for the production of historical documentation where purchased by students such as replacement transcripts and certificates
:

Work with the Student Assessment and Attainment Manager and the Student Administration and Partnerships Manager to develop and deliver cross functional training on key tasks such as mark entry and exam bard paperwork preparation
:

Build a suite of Standard Operating Procedures and training material on all assessment related tasks, including mark entry, undoing marks on records, processing awards, correcting errors and closing down records
:

Liaise with Administrative, Academic or other staff to collaborate on cross functional tasks such as optional module selection
:

- **Proactively support the University, achieve its strategic goals in line with Vision 2030 by remaining adaptable to change and demonstrating a positive and flexible attitude in overcoming challenges in the changing face of Higher Education.

Data Quality

Support the Deputy Head of Registry in ensuring data integrity in SITS with regard to assessment and student records related tasks

Work with the Quality and Standards team to maintain accurate programme set up and high-quality curriculum data mapping
:

Assist the Deputy Head of Registry in annual data management and data cleansing tasks in SITS
:

Liaise with the SITS team to iteratively improve the processes and documentation, logging enhancements where required
:

- **Manage the rollover of records in SITS within a timely manner, understanding the impact of maintaining data integrity and data checking at this time.

Assessment Boards

Manage the collation of marks and results in collaboration with other colleagues as appropriate, to ensure that appropriate documentation is prepared for the University's Assessment Boards
:

Ensure that key dates are communicated to colleagues well ahead of time and support the development of the annual academic calendar
:

Manage the process for the University's Assessment Boards, including overseeing meeting arrangements, preparing documentation and endure an appropriate audit trail is maintained
:

Provide advice and support for the Chair, and ensuring that all conditions and recommendations are met and an appropriate audit trail is maintained throughout
:

Ensure that accurate results are issued to all students as soon as possible following the relevant Assessment Boards
:

-
Manage the timely notification process to external agencies of students' progression, and the resolution of any associated queries
:

- **Following exam boards, identify non-progressors and ensure they are set up correctly as repeaters for new enrolment periods, withdrawing non-continuers as require
