POST SUMMARY

  • To provide operational support to the Deputy CEO & Principal Colleges, Quality Team, Vice Principals, Assistant Principal, Heads of Faculty, Duty Managers, Safeguarding and Security teams, involved in student and campus related issues.
  • To be the first point of contact and provide effective and efficient administrative and operational support to curriculum areas on campus, working alongside service teams on campus, to ensure smooth and uninterrupted business services and operations.
  • To lead the administration for all complaints received by London South East Colleges and the London and South East Education Group ensuring the College Complaints Procedure is complied with and complaints are dealt with effectively and within set timescales.
  • To ensure College staff receive up to date training to enable them to investigate complaints efficiently and undertake Duty Management responsibility efficiently.
  • Produce termly reports for the Vice Principal Quality & Standards and the Senior Leadership Team as required.
  • Act as the single point for all Quality Team and Curriculum Admin policies and procedures, scheduling as required to ensure that these are updated as necessary.
  • Administer the Quality Team and Curriculum Admin SharePoint site ensuring that all document is updated and available to staff across the organisation.
  • To manage and supervise the Curriculum Admin Assistants across all LSEC campuses.

MAIN DUTIES AND RESPONSIBILITES OF THE POST

Quality Administration:


  • Act as the single central point for coordinating and keeping quality team policies, procedures and documentation updated, keeping a log of document versions and review dates.
  • Actively maintain the quality team SharePoint and one drive sites, ensuring that all documentation is current and available to staff across LSEC.
  • Support the Quality Team Observer with regard to efficient utilisation of diaries for lesson observers, and follow up to ensure observers have the necessary paperwork.
  • Support the Quality Team Observer with lesson observation notifications using curriculum observer in line with current college policy and time lines.
  • Support the Quality Team Observer with the liaison with observes and observers where necessary to reschedule observations.
  • Ensure that the information in curriculum observer is accurate and up to date at all times.

Complaints:


  • Accurately log and record all complaints as they are received, ensuring they are sent to the relevant manager to investigate, making personal contact and ensuring that managers are aware.
  • Ensure that all complaints are acknowledged and resolved within the allotted deadlines detailed in the College Complaints Procedure, following up with investigating staff in a timely way.
  • Maintain the complaints log to ensure it is completed accurately, making any updates or changes to the systems and processes as necessary.
  • Highlight any serious complaints or trends in complaints to the Deputy CEO & Principal Colleges and Group Executive Director Governance & Administration.

  • Write a termly and adhoc complaints report for the Principal and Senior Leadership Team.
  • Organise and provide training for College staff, who may need to investigate complaints.
  • Process and monitor all appeals received, ensuring they are followed up within the allotted timescales.
  • Update the complaints procedure on an annual basis and ensure it is circulated to staff and available for staff, students and public on SharePoint and websites.

Curriculum Admin:


  • To provide administrative support for the Campus Vice Principals and Assistant Principals, as required. Arrange internal and external meetings, prepare papers and draft minutes as required.
  • Follow up on actions agreed in the meetings attended by the Campus Vice Principal including prioritising and researching matters and conveying action points as applicable to other staff.
  • To prepare correspondence, reports, presentations and other documentation from dictated notes/written drafts, including confidential material.
  • To ensure a high standard of customer service is provided to all students, parents, visitors and staff.
  • To monitor and ensure compliance with all College policies and procedures.
  • To provide administrative support for Student Disciplinary processes.
  • To support and supervise the Duty Management Process on campus.
  • To work closely with Corporate Service Managers in all areas, to support a responsive and effective service on campus.
  • To assist at College enrolment/promotional events/induction/open evenings as required.
  • To play an active role in supervising Disaster Recovery, Emergency and Evacuation Procedures on campus.
  • To provide support to the Safeguarding Manager and support third party requests and visits in relation to students and student related matters.
