Administrative Assistant
Day to Day responsibilities:
(1) Customer Relationship
- Interacting with customers; providing prices and executing orders.
- Sending Release Notes to customers, organising deliveries through our haulier network and following up with with warehouses to ensure goods have been collected / delivered.
- Providing post sales service to customers which includes: sending customers invoices; providing details of outstanding orders; providing health certificates and product specification sheets.
- Chasing overdue invoices.
(2) Purchasing:
- Checking and verifying supplier contracts
- Communicating with suppliers to ensure timely shipment of contracts
- Keeping track of Shipment ETA's and delivery dates to Warehouses.
- Reconciling stock levels in Warehouses.
(3) Accounting (Using Xero Accounting)
- Creating Customer Invoices
- Entering Supplier Bills
- Creating Stock Codes and product descriptions.
(4) Documentation Management
- Sending Shipping Documents to Clearing Agents and maintaining a delivery board for all shipments coming in.
- Some filing of Release Notes, Supplier Contracts and Shipping Documents
Skills Required:
- Good knowledge of Microsoft Office
- Excellent written and spoken English
- Pays attention to detail
- An ability to muti task
- Language: Spoken Hindi desirable but not essential

- Proactive in finding new solutions or better ways of doing things.
- A strong work ethic.
- A team player willing to get involved and take initiative where required.
- Has a confident and professional telephone manner when dealing with customers and suppliers.
Qualifications:
- Educated to minimum A Level standard / equivalent.
- Must be comfortable with numbers.
- At least 2 years work experience in an office environment.
